We’re headquartered in Brighton, with our team working hybrid and remotely across the UK. Ad-hoc travel to London or Brighton will be required. Plus, to the US to support growth in that market.
The role
This is a new role at Graphite working into the Head of Delivery (currently on maternity leave so working temporarily into the Customer Experience Director).
We are looking for someone with solid experience in agency-wide resource management and delivery to oversee a portfolio of our health and pharma clients. You will manage and support a team of project managers, ScrumMasters and contractors, providing line management and training to ensure high performance and continued development.
You and your team will work closely with all in-house departments and clients to deliver projects, ensuring high quality outcomes, and timeliness of delivery.
In this senior position, you will work with the Head of Delivery on business growth initiatives and agency efficiency, and bring a growth mindset to aid future scaling with the ability to spot, analyse and resolve problems.
You will be expected to generate around 50% of your time as billable revenue for the department. This will increase as we promote the team and less line reports.
We are growing the Project Management team so recruitment will be part of this role.
Key responsibilities
Resource management
- Pipeline resource planning and agency wide utilisation management in line with targets, ideal operating costs and margin control (working with Head of Delivery & SLT)
- Month end responsibilities - timesheet checking & locking, budget reconciliation
- Contractor set up, management and creating/overseeing Works Appendices (as required)
Project management
- Overseeing projects of varying scale and complexity (across web, app, platform) - from fixed cost projects to retainers, focusing on strategy, research and design
- Roadmapping of retainers (12 months or more)
- Active project management required on key projects, in busy periods and as holiday/sick cover
Line management
- Team line management, mentoring and training
- Managing all personal development plans and objective settings
- Leading with empathy and accountability - communicate with warmth and positivity, fostering a collaborative and high-performing work environment
Cross-functional collaboration
- Work closely with internal teams across business/UX strategy, research and design when proposing digital solutions and collectively creating client roadmaps (along with client service).
- Contributing to SOWs.
- New business support including prospect meeting attendance (where necessary), providing timelines and costings
- Strong relationship with commercial with a good understanding of how to price work at value
Key requirements
- Some experience working with health and pharmaceutical organisations.
- Minimum six years agency experience in project management and core skills including timeline creation, client management, scoping, estimating, risk management
- Understanding of Digital Product, Design Thinking and digital health innovation, and importantly Design Systems and the benefits of a harmonised/cross channel approach.
- Understanding of user-centred design principles and methodologies and web technologies, capabilities and limitations
- Experience in launching digital products or services in regulated markets.
- A good understanding of commercials and financial targets, renewals and budget management
- Scrum and Agile certification and experience
- Working detailed knowledge of Jira and project management tools (e.g. Forecast)
- Experience in line managing teams; training, mentoring and coaching best practice project management.
- Willingness to travel to the Brighton office for key company events and to engage with team members as needed in Brighton and London, and for industry events as agreed.
Skills:
- Excellent client facing communication and presentation, plus diplomacy and negotiation skills, enabling you to have difficult conversations with the client and team with ease.
- Excellent communication and collaboration skills, with the ability to effectively engage with cross-functional teams and stakeholders
- Used to working under pressure and with shifting priorities
- Highly organised and efficient
Nice to have:
- Knowledge of healthcare regulations and standards (e.g. FDA, HIPAA, GDPR).
- Understanding of pharma marketing compliance (e.g. Veeva-approved content, MLR process).
- Working knowledge of technologies used in health (e.g. EHR integration, mobile health, telemedicine).
