About the Role:
We have an exciting opportunity for a Contract Administrator to join our team on a 6-month fixed-term contract. Based in our Chertsey office (soon relocating to Woking), this role supports our Quantity Surveying team in the contractual and financial management of construction projects.
In this role, you’ll play a vital part in ensuring contractual compliance, supporting project delivery, and maintaining accurate financial documentation. You’ll be responsible for managing and administering contracts throughout the project lifecycle, ensuring adherence to legal and regulatory standards, and facilitating smooth project execution through clear and effective communication
Key Responsibilities:
Contract Management:
- Prepare monthly valuations and applications for submittal to the customer.
- Ensure timely payments to KONE to maintain positive cash flow.
- Support the negotiation and agreement of final accounts.
- Ensure all contractual obligations are met by all parties.
- Maintain accurate records of contract correspondence, variations, and claims.
- Assist project managers and site teams with contract interpretation and compliance.
Project Support:
- Support Project Managers in converting opportunities into profitable variation orders.
- Maintain up-to-date records of variations, scope changes, and entitlement events.
- Understand the scope of subcontracts, including obligations between KONE, clients, and subcontractors.
- Support cost control efforts and identify opportunities for cost savings.
- Monitor project timelines, deliverables, and milestones in line with contractual terms.
- Identify and document events that may lead to delays or extensions of time.
- Coordinate with Quantity Surveyors, Legal, and Finance teams as required.
Risk & Compliance:
- Identify potential risks and assist in developing mitigation strategies.
- Ensure compliance with company policies, industry standards, and legal requirements.
- Monitor KONE’s compliance with contractual obligations throughout the project lifecycle.
- Maintain comprehensive records for compliance, contractual, and financial matters.
Communication & Reporting:
- Act as the primary point of contact for contract-related queries.
- Prepare regular reports on contract status, changes, and issues.
- Facilitate meetings with stakeholders to review contract performance.
- Maintain project forecasts for cost, revenue, and profitability using SAP and business reporting tools.
- Perform cost/value reconciliations (contract value vs. contract cost)
Skills and experience required:
- Use of Microsoft programmes (Excel is essential)
- Communication skills in English (written and verbal).
- Administrative skills.
- People skills and the ability to build and develop relationships.
- Construction or industry experience is a bonus (but not necessary).
- Resilience, determination, and the ability to work well under pressure.
- Good commercial awareness.
