We are seeking a highly organized and detail-oriented individual to join our team. The Bid Writing, Marketing and Office Administrator will be responsible for management and co-ordination of content for bid submissions, management of marketing material, managing day-to-day administrative tasks and providing support to the Practice Partners. The ideal candidate will have experience within the architectural or wider construction industry but this is not essential.
Key Responsibilities:
Office Management
· Provide comprehensive administrative support to the practice Partners.
· Oversee daily office operations, including managing office supplies, equipment (non IT), and facilities.
· Supporting the administration of governance and company accreditations
· Handle incoming calls, emails and other communications
· Proof reading of report and letters
· Coordinating monthly office meetings and taking minutes
Bid Writing
· Management and co-ordination of content for bid submissions and competitions
· Researching project histories, practice procedures and general business requirements in support of bids
· Produce and update practice brochures
Marketing
· Making, planning and executing the marketing plan for the business in consultation with the practice Partners.
· Preparing and issuing social media posts, web site updates and press releases
· Coordination and submission of architectural award entries
· Event planning and coordination
· Keeping the practice directory up to date and maintaining a good working knowledge of our client base
You will work within the practice’s Quality Assurance, Environmental management and Security management systems.
You will demonstrate a high level of self-motivation in identifying tasks and in the delivery of them including the management of them.
You will demonstrate good attention to detail and generate high standards of presentation in all tasks.
Once briefed on a project you will work towards generating the outputs in your own right, however you are expected to bring to Senior staff or Partners attention any issues that you may have in not understanding the brief given, or any issues you may have in meeting deadlines as soon as it becomes apparent to you.
You will provide regular updates to the Partners, any issues that may give rise to a failure to meet a defined deadline or output should be brought to the Partners attention immediately upon discovery.
It is expected that you will collaborate with the Partners and senior staff in delivering specifications that meet the practice’s standards, and that where you do not know something you will raise a question with either an Associate or Partner.
Support and training as appropriate, will be given to you to assist in the development of your professional skills
As workload and deadlines require it is expected that you will work to deliver outputs to given deadlines. From time to time this may require working hours as required to achieve this.
Deliverables
In the delivery of this role the strategic deliverables are:
· Ensuring information for bids is uploaded intime to meet deadlines
· Data entry within tendering websites / portals
· Researching and developing original bid and question specific information
· Researching sectors and generating contact lists
· Keeping the website up to date
· Creating and posting content on social media
· Interacting with the London office over the creation and issuing of invoices
· Keeping Partners advised of changes and issues as they arise
· Ensuring that Wilson Mason LLP’s interests are protected
Working to and delivering information following the Wilson Mason LLP QA procedures
Required computer skills
Production of information and documents through advanced use of Microsoft Office Word and Excel. Photoshop,
Writing / generating the output documents report in the desk top publisher.
