Due to internal promotion the Property Services Unit have an opportunity for an Administrative Officer (PSU Support Officer) to join their busy team on a fixed term basis. The role is for an initial period of 9 months with the possibility of extension.
The Property & Services Unit (PSU) is responsible for the procurement and management of outsourced works, services and supplies including capital building & sustainability projects, building maintenance, rent & rates, fuel & utilities and soft facilities management services for the SCTS.
As a Support Officer within PSU you will play a key role in support the unit. You will carry out a wide range of general administrative duties and be the first port of call via email and telephone for internal and external queries. You should also be an excellent communicator and enjoy working with stakeholders and all levels.
The Key Responsibilities
To undertake a number of general administrative duties including:
- Reception- Reception and Switchboard duties within HQ at Saughton House
- Mail- Distribute mail for HQ staff
- Assist Fleet Manager with recording fleet usage, mileage and fuel/running costs.
- Oracle Raise purchase orders for staff through the SG Pecos system and ensure that stationery stock levels are maintained.
- Assist the Estates Manager with monitoring and recording maintenance faults within Saughton House to the FM provider.
- Diary Secretary- Provide cover for arranging meetings and collate board papers for Director of PSU (including draft letters and minutes).
- Circular- Collate entries from units for the SCTS Weekly Circular and issue to all users
- Admin Support- Assist the Estates Manager with various admin duties for the unit, including organising meetings and supporting other members of the Property team.
- Printing SCTS passes for estate
