Due to the ongoing expansion of our Conveyancing department, we are looking to appoint a dynamic and motivated Administrative Assistant to join the team at our office in the centre of Dunfermline. The role includes full training with excellent prospects for the right candidate to progress within the company in time.
Please note that this is a full-time office-based role. The working pattern is Monday to Friday, 8.30am to 5.00pm with an hour unpaid lunchbreak (37.5 hours per week).
At Your Conveyancer, Administrative Assistants deal with the administrative tasks relating to remortgages, purchases and sales. Their role is crucial to supporting the Case Managers to provide the best quality service to all clients.
Key responsibilities and duties include:
- competence in replying to emails within the service level agreements;
- efficient and effective use of the electronic case management system;
- archiving files;
- requesting and chasing redemptions, and carrying out the Data Input from the Redemption Statement onto the Case Management System;
- opening new files on the case management system;
- checking and receipting documentation onto the Case Management System, and reissuing where necessary;
- receipting, checking and inputting data from the Office Copies / Search;
- inputting data from the questionnaire onto the Case MS, and requesting any outstanding information;
- carrying out tasks allocated by the Head of Department or by another member of the Management Team;
- assisting with client enquiries where possible and progressing matters accordingly;
- following company policies and procedures;
- maintaining confidentiality;
- attending and engaging with support, advice and training; and
- diligently and efficiently carrying out tasks relating to the role, in accordance with the company’s policies and procedures.
Knowledge, skills and attributes required for the role:
- experience within a similar role is beneficial but not essential
- excellent organisational skills and attention to detail;
- experience of working with Microsoft Office and Excel;
- motivated and keen to learn;
- proactive and resourceful in their approach to tasks;
- ability to work as part of a team; and
- ability to prioritise tasks and work to tight deadlines in a face-paced business.
