Job description
Afrah Al Batul is seeking to appoint an Administration Officer on a part-time basis. Working hours will be Mon-Fri 5pm-7:30 pm and Sundays from 10:30am-12 pm. The role is for 39 weeks of term time per year and includes 13 weeks of holiday each academic year in line with the Lancashire County Council holiday calendar for local authority schools.
This is a key role within the Madrasah and the Administration officer is required to maintain the highest levels of attendance & punctuality. The candidate must be fluent in reading, writing & speaking English & must be computer literate. Fluency in Urdu & Punjabi is also desirable.
Key responsibilities of the Administration Officer include, but are not limited to, the following:
· Maintaining a student database with contact details, progress, health and educational needs
· Monitor student and class attendance levels
· Create monthly class attendance reports for monthly assemblies.
· Identify absent students on a daily basis and contact parents for unauthorised absences
· Registering Late students.
· Answering phone calls and booking appointments with teachers
· Maintaining the Fees Spreadsheet, collecting and chasing fee payments
· Writing and printing letters
· Typing up Class Notes and Resources
· Printing of resources and exam papers
· Maintaining and updating the Madrasah website
· Running and updating the Madrasah social media accounts
· Creating posters and information leaflets
· Ordering education supplies (textbooks, board pens, exercise books, printing paper, ink, Madrassa bags and uniform)
· Running and stocking the stationary shop.
· Creating and maintaining display boards.
· Photography and Videography at Madrasah events like assemblies, Open Days and trips.
· Assisting in Assemblies
· Taking minutes at meetings
· Supervising children in the corridors and toilet area and during Salah.
· Covering classes when required due to staff absence
· Working as a Teaching Assistant when required
· Supervising the safe arrival and departure of children alongside a team of volunteers
· Ensuring parents and members of the public do not enter classrooms during lessons.
· Ensuring safe parking for drop off and pick up
· Assisting the principal and teachers as and when required.
