The principle responsibilities and reason for this position is to help GENEX with the day to day works in scheduling and recording engineers works, along with the delivery of general office administration support.
Duties:
The employee will be responsible for the effective management and implementation of the following tasks:
- Assisting with work scheduling of a team of remote engineers.
- Compiling KPI reports of works delivery / completion
- Updating portal software with job / task description and checking full delivery of specified works.
- Logging - signing in/out equipment
- Monitoring Stock Levels – chemicals and stationery
- Monitoring when equipment and kit is due calibrations – ordering spares
- Planning works – monitoring from booking in - through to invoice stage
- Creating, Saving and sending reports – including sample certificates
- Updating client portals
- Assisting with creation of Fee Proposals and Logbooks
- Assisting on electronic logbook system maintaining and creating new sites
- Taking phone calls – dealing with emails
- Managing and booking in sub contractor works
- Assisting with permits, RAMS and supply chain questionnaires.
- Assisting with LCA compliance – maintaining and updating employee training records and competency reports.
- Assisting on inductions with new engineers/staff.
- Booking hotels for engineers.
- Assisting accounts team with collation of finical data, expenses and invoicing.
Qualifications:
Essential:
- Sound understanding or Microsoft Office including word, excel, powerpoint and outlook
Desired:
- Prior knowledge and experience of works scheduling
Personal Qualities:
- Ability to work well within a team environment but still able to work under own initiative with limited supervision.
