About the Role

As our Admin & Logistics Coordinator, you will play a vital role in managing the logistical and administrative operations that power our events and catering services. You will act as the central communication hub, coordinating between clients, chefs, and internal teams to ensure that every detail runs smoothly – from daily deliveries to bespoke events.

Key Responsibilities

1. Site Manager/CPU’s Communication & Admin

- Manage the logistics@fikacatering inbox, responding promptly to all site managers queries and requests

- Liaise with relevant team members (chefs, site leads, managers) to respond to client requests efficiently

- Handle administrative duties related to CPU accounts, including managing invoices

- Support bespoke menu requests by coordinating directly with the chefs to ensure feasibility and delivery timelines

- Keep accurate records of client preferences and special requirements

2. Scheduling & Coordination

- Organise and schedule all daily deliveries, including food, drinks, equipment drops, and collections across our operational sites

- Create and update the weekly driver rota based on confirmed orders and special events

- Input all confirmed client orders into the team calendar by the designated date and time

- Ensure all allergen information, menu labels, and signage are ready and delivered as needed

3. Logistics & Operational Oversight

- Track and manage the return of food boxes and reusable equipment from clients to their respective kitchens

4. Problem Solving

- Contribute ideas to enhance the efficiency of logistics operations and the uniqueness of our events

- Identify challenges early and work with the team to deliver creative, client-focused solutions

5. Team Support & Culture

- Act as a positive, can-do presence in the logistics and events team

- Help build a strong team culture based on trust, ownership, and our core FIKA values

6. Financial Management

- Work with your line manager to manage event budgets and ensure financial targets are met or exceeded.

- Optimise food, equipment, and operational costs while maintaining high-quality standards.

Key Skills & Requirements:

- Proven experience in admin, logistics, coordination, or event management roles — ideally within catering, hospitality, or events environments

- Exceptional organisational skills, with the ability to multitask, prioritise, and remain calm under pressure

- Excellent written and verbal communication skills, with the confidence to liaise directly with clients and internal teams

- Comfortable managing client expectations and coordinating across departments (chefs, drivers, operations, etc.)

- Strong attention to detail and a high level of accountability

- Confident using Google Workspace, Microsoft Office, and project management calendars/tools

- Knowledge of food safety and health & safety compliance (training provided if needed)

- A flexible, collaborative team player with emotional intelligence and a drive to deliver high standards in everything you do

- Willingness to go the extra mile to ensure events and deliveries run seamlessly from planning to execution
