We have a fantastic opportunity for a Special Events Admin Coordinator to work in our dynamic Sales team at The Belfry, England’s leading Hotel and Resort. We have 320 bedrooms, 2 Rosette standard dining, five food and beverage outlets, fantastic leisure facilities including our 20 treatment rooms & pool and of course, what we are famous for…golf. We have had a really exciting so far at The Belfry, starting with hosting The British Masters in June 2023, and continuing with the launch of new training and development opportunities and incentives.


The Events Sales Team

About you


The ideal candidate will have experience in an administrative role and possess excellent verbal & written communication skills.

In addition, you will be:

  • Methodical - accurate & ability to work on own initiative, with outstanding attention to detail.
  • Computer literate, with experience of hotel PMS. i.e. Delphi & Opera.
  • Guest focused and enthusiastic, with excellent customer service skills.
  • Flexible and capable of working well within a team.


About the Role


As a Special Events Admin Coordinator, you will be responsible for supporting the special events sales executives with their enquiries and bookings. The successful applicant will support the team by undertaking day to day enquiry handling and event correspondence, ensuring The Belfry standards are maintained.


You will also be responsible for:

  • The preparation and send event contracts to clients, on behalf of the sales team and the hotel.
  • Loading data into Delphi
  • Send & prepare proposals to clients for the sales team
  • Chasing deposits for the sales team
  • Support chase calls & rebook calls to assist the sales team
  • Process deposits for the sales team
  • Complete booking events orders for any shortlead events
  • Process all internal bookings for the hotel
  • Filter calls coming into the office
  • Chase Health & Safety documentation for the sales team
  • Assist in taking enquiries and covering the phones during busy periods
  • Make clients aware of the full terms and conditions of business, including the cancellations policy
  • Assist with Wedding Fayre/Exhibitions/Meet and Greet as required
