Job Title: Records Management Assistant
Salary: The starting salary is £34,808, which includes allowances totalling £2,928.
The salary is broken down as £31,880 basic salary, which will increase annually until you reach the top of the scale £34,108. Plus, a location allowance of £1,928 and a non-pensionable allowance of £1,000.
Location: The primary Met Location for this role is Sidcup and Belvedere. Travel across the Met Estate, to attend meetings as required by the business, is expected.

Digital, Data and Technology (DDaT)
The mission of Digital, Data and Technology (DDaT) is to provide the Met with information (and specifically data), communications and technology to help frontline officers and Met staff do their jobs more efficiently, in order to deliver the New Met for London plan. In other words, DDaT is about “passionately delivering trusted technology for precise data driven policing”.
As well as keeping up to speed with developments in technology and making recommendations for new equipment and systems that will help modernise policing, DDaT also comprises the Data Office which:
- Owns and drives the data compliance and analytics agenda.
- Brings together the accountabilities that are currently dispersed across the Met business areas.
- Consolidates and further develops existing Met data and insight services.
- Enables data sharing and collaboration to serve the public and external partners.

Job Purpose
This is an exciting opportunity to deliver outcomes to meet the Commissioner’s Turnaround Priorities in particular ‘we will be relentlessly data driven and evidence based in delivery’. The role holder will develop a highly skilled and effective approach in records management.
A key element of the role is the application of Police Information Records Management (PIRM). Records holdings are subject to a variety of legislative obligations, which include Data Protection Act 2018, the Freedom of Information Act & Data Protection Acts (GDPR), Protection of Freedoms Act 2012, Rehabilitation of Offenders Act 1974 and Criminal Procedure Investigation and Investigations Act 1996, Public Records Act S3 1958, Freedom of Information Act 2000, The Police Act 1996 (s39 & s39A) and The Criminal Justice Act 2003, schedule 15.
This role supports a key aspect of the core business of Met Records Management. It covers the lifecycle of police records, preservation and safeguarding of all evidential files.
The role comprises of the review of all Met legacy records, casefiles and Fingerprint Dockets.
It ensures their retention, review and timely disposal process is followed through according to the Met Policy, legislation and guidance from the Line Manager (Band D).
Key Role Responsibilities
- Training will be given in specialist knowledge (PNC and CRIS/Connect) to make informed decisions in relation to the management and review of police records.
- Support and assist MPS business groups with requests around retrieval of case files and non-operational material
- Ensure compliance with information legislations in records management: safeguarding records during their life-cycle from storage to review, retention and disposal
- Support and assist Forensic Services dealing with requests and evidential material
- Ensure Biometric compliance, with the Protection of Freedom Act
- The post-holder will be trained in all legal requirements surrounding records management
- Able to manual handle material in a warehouse environment, these can weigh up to 15kg.
- Ability to work as part of a team and wider Met partners and stakeholders.
- Provides updates to officers and staff via SharePoint, Microsoft Teams, email or telephone.
- Able to meet deadlines requiring flexibility, attention to detail and the ability to work under pressure.
- Utilises IT systems such as Microsoft Word, Excel, Teams and Outlook to communicate, organise, track request and order to meet deadlines, producing statistics where necessary.
- The post-holder will be required to ensure that they remain up to date with changes in Records and Information Management policies and processes.
- Provide KPI’s of files reviewed, retained or destroyed in line with local management requirements.
- Support Met officers, BCU’s and other internal departments by providing advice and support on using the Record Management System. The post-holder will maintain and update training guides and videos.
- Other duties as required.

Vetting Clearance
For this role the Vetting Clearance is Force Clearance Level, Recruitment Vetting (RV), and National Security Vetting (NSV) Level, Counter Terrorism Check (CTC).
Hybrid Working
This is an Office based role. No Hybrid working available.
Question
One role is based at Belvedere. The other role is split between two locations: Sidcup and Belvedere.

Essential Criteria:
- Knowledge of Records Management Policy.
- Basic knowledge of the Data Protection Act 1998 & 2018.
- Basic knowledge of the General Data Protection Regulations (GDPR).
- Excellent customer service and communication skills.

- Ability to use Microsoft Word, Excel, Teams, SharePoint and also familiar with Box.
- Able to manual handle material in a warehouse environment, these can weigh up to 15kg.

- Basic knowledge of Police Information Records Management (PIRM).
- Training will be given of Met systems i.e. Police National Computer (PNC), Crime report Information System (CRIS) and CONNECT (Met Data Recording System).

- Knowledge of Met units and who to contact to obtain information.
