Job Description for Receptionist
Personal Profile:
Flexibility and adaptability is essential as you will be responsible for a busy front desk due to three clinics running simultaneously, excellent interpersonal skills, Computer literate: Word, Excel, Email, knowledge of Electronic Medical Record systems, suitable client facing administrative experience.
1. To open administrative functions (reception, cash box etc).
2. Answering Telephone – receive and communicate messages for clinical staff and patients.
3. Booking appointments made by telephone or in person.
4. Ensuring effective diary management is achieved through appropriate booking.
5. To create and maintain confidential medical records.
6. To deal with all visitors and patients in a courteous, friendly, and helpful manner.
7. Enter and manage electronically based medical reports, letters, and documents.
8. To learn to use the Private Practice Software (PPS) through help, guidance, and coaching.
9. To take payment from clients based on the standard charge schedule on PPS.
10. To handle cash and credit card transactions in a professional and honest way.
11. To cash up and do the banking daily. To perform a daily cash reconciliation of takings against computer records
12. To write, print and post letters daily to those patients requiring contact.
13. To recall patients who have not attended for 6 or 12 months
14. To undertake ‘Critical non-essential’ duties as required.
15. To undertake ad-hoc cleaning duties to maintain the clinical / office environment
16. To facilitate the day to day running of the practice.
17. You will ensure that the company’s USP is always delivered upon.
18. Flexibility to cover sickness/holiday for receptionists is essential (to include changes to hours to cover clinics)
19. Any other duties as required.
Hours 13 hours per week
Monday 08:45: – 13:15
Friday 08:15 – 17:45
