We have an exciting opportunity to our join our Reception team at Sancta Maria Hospital, Swansea. You will work as a key contact for all of our patients, Consultant users and colleagues, relating to inpatient and surgical admission, ensuring an excellent level of customer service at all times. This post is for 30 hours per week
You will ensure a warm, courteous welcome to all; creating a professional service to patients, visitors and colleagues, ensuring efficient and effective running of outpatient department clinics and patient admission.

Job Description
To provide a concierge service to patients, visitors, and colleagues, ensuring that everyone is greeted professionally.
All persons should be dealt with in a confident, intuitive, manner, with a courteous, respectful, helpful and positive attitude.
Provide high quality, accurate, communication with patients
Liaise with patients to answer queries in a courteous, professional and efficient manner.
Accompanying patients to a seat and offering refreshments from the refreshments counter in the waiting area, providing table service to the patients.
Maintaining a good working knowledge of hospital services to ensure enquiries are dealt with efficiently.
Assisting patients in completing the required paperwork; making certain that all forms are completed in full and copies are provided to the administrative team
Dealing with telephone enquiries from patients, visitors, consultants and staff
Ensuring that the patient administration system (compucare) is updated accordingly and helping the patient navigate to the correct department
Taking payments, and when required, ensuring the patient is provided with accurate invoices.
Undertaking administrative tasks, as required, to a high standard, in line with local policies and procedures.
Update Electronic Patient Records and keep accurate records of room usage.
Sorting and distributing incoming mail and handling outgoing mail
Booking appointments in line with HMT policies and procedures
Person Specification
Essential
Experience working in a customer services and administrative role
Excellent interpersonal skills
Willing to undertake self-development activities to improve performance and effectiveness Has up-to-date knowledge or demonstrable computer literacy in order to use the following systems:
1. Electronic Patient Records
2. Management of Medical records
Minimum of GCSE English and Mathematics
Able to prioritize workload
Effective time management skills
Ability to use initiative and make decisions under guidance from line manager
Effective interpersonal skills
Desirable
Already obtained or working toward BTEC/NVQ level in Administration
