FORVIA HELLA is seeking a Quality & Operations Administrator to join our small team at the UK site near Banbury:

Broad Objectives

1. Manage the day to day running of the returns, claims, stock cleanse and inspection processes ensuring that they are completed accurately & timely.
2. Co-ordinate the resolution of quality concerns relating to purchased parts
3. Provide administration support to the Operations function.


Key Responsibilities

1. Manage and clear the Returns inbox daily.
2. Raise Customer returns and claims in SAP.
3. Organise collection of claimed parts and follow up on failed collections to an agreed target.
4. Maintain the online Returns form within Pro Forms.
5. Daily telephone and email interaction with customers to resolve queries and provide updates on their returns/claims.
6. Work with the Returns Warehouse operative to ensure that the daily processing of returned parts is completed.
7. Review open returns and claims to ensure that our processing targets are met.
8. Maintain, report and take responsibility for the departmental KPI’s ensuring performance is in line with management expectations.
9. Make decisions on the return of parts and acceptance of the claims in line with defined thresholds.
10. Escalate to and work with the SOE Quality Engineer on product quality issues through to resolution
11. Manage the rejection of returns and claims in our systems and with the customer.
12. Responsible for the data required and communication with the Central Quality team, ensuring all local actions are completed as required.
13. Through analysis of department data, put in corrective action and containment where needed & identify potential improvements.
14. Manage the supplier claims process to ensure that product quality is maintained/improved, and supplier liabilities are recovered.
15. Define, document & apply criteria for verification of incoming goods in SAP following Central Quality bulletins and maintain inspection records.
16. Manage the stock required for re-boxing.
17. Manage the removal of scrap metal, WEE and core rotating.
18. Facilitate the Stock cleanse process.
19. Manage the Facilities schedule and liaise with Suppliers and Contractors.
20. Maintain the filing system within a multi-functional department.
21. Ensure that the working area is safe, clean & tidy at all times.
22. Work such extra time as appropriate to fulfil your duties as and when necessary.
23. Follow all Health & Safety guidelines and notify your Manager or Health & Safety representative of any Health & Safety matters.
24. Carry out any duties that may reasonably be added to this role.

Skills & Knowledge

1. Competent in the daily use of Microsoft Office essential (Outlook, Excel and Word).
2. Experience in the use of business reporting tools and competent in extracting and manipulating data into Excel such as filter/sort/look ups/pivot tables essential.
3. Strong analytical, reporting & presentation skills.
4. Logical & methodical attention to detail, with the ability to think laterally.
5. Good communication skills.
6. Proactively co-operates with and supports colleagues.
7. Ability to work on own initiative and as part of a team environment.
8. Ability to work under pressure to achieve deadlines.
9. Flexible approach to work.
10. Previous experience of Returns processes, and Customer complaints is preferred.
11. Understanding of ISO quality systems & requirements is preferred.
12. Experience of using warehouse management systems (particularly SAP) preferred.
