We are excited to recruit 2 Practice Administrator/Receptionists to join our expanding team. We are a large medical practice in Didsbury with an inclusive team ethic and working environment.

We have 4 GP Partners, 8 salaried GPs, 2 Physician Associates, 3 Nurses, 1 HCA, 2 Care Co-ordinators who are support by 2 Practice Managers, Pharmacy Team, Practice Secretaries, Administration Team and a Reception Team. We are also a training practice and are involved with research campaigns.

Main duties of the job

Key Duties and Tasks: Receiving patients in a welcoming manner; answering the telephone, dealing with enquiries, making appointments, scanning letters, giving support to clinical staff including occasionally acting as a chaperone, undertaking other reception and administrative duties as assigned.

Please note, this job requires extensive use of computers, so requires a high level of IT literacy.

Job responsibilities

· To provide a high quality, professional reception and administrative service to patients, doctors, staff, colleagues, health service professionals.

· We require a high level of flexibility to ensure we have adequate cover throughout the week.

· To act as the first point of contact for patients contacting the Practice and to portray the Practice in the highest possible professional basis

· To ensure that enquiries from patients are efficiently and courteously handled to the mutual satisfaction of the practice and patients

· Greet patients and visitors to the practice

· Book in, amend and cancel patient appointment in line with practice appointments procedures ensuing optimum efficiency of the appointment system

· Respond and/or redirect all patient and visitor requests accordingly

· Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed

· Registering new patients

· Ensure reception and waiting areas are kept neat and tidy

· Re-stocking of clinical rooms and public areas

· Answering incoming telephone calls, ensuring calls are documented and redirected accordingly

· Management of documents and data throughout the practice

· Undertake administration tasks as allocated by the Management team.

· Ensure up-to-date maintenance of both computerised systems (i.e. patient notes)

· Check emails daily

· Regularly check tasks and notification on EMIS

· Always Work safely in accordance with Legislative requirements and Practice Policy and Procedures

· The post-holder must be understanding and approachable to patients and able to respond to patient requests

· The post-holder must be able to communicate effectively and collaboratively across varied staff disciplines

· The post-holder must clearly understand the importance of maintaining patient and data confidentiality

· Be available for out of hours clinics once or twice a year i.e. flu season/clinics

Person Specification

Qualifications

Essential

· GCSE Grade C or above in English and Maths or equivalent

· IT literate

· Previous customer service experience

· Previous experience dealing with a high volume of telephone calls

· Experience of working in a busy environment

· Excellent communication and interpersonal skills, both written and verbal

· Needs to have excellent attention to detail and a methodical approach to challenges

· Ability to work on own initiative and in a team

· Willingness to develop new skills and undertake training

· Approachable, flexible and caring attitude

· Ability to work accurately and effectively as directed

Desirable

· Previous experience as a medical receptionist or administrator is desirable

· Previous experience working on EMIS is desirable

· Previous experience of working on Docman is desirable
