The Opportunity
We are seeking an enthusiastic Personal Assistant with Marketing Focus to join our team. Based at our modern office in Newmarket, this is an exciting and challenging role for someone who is looking to work in a fast-paced and progressive environment.
The Personal Assistant with Marketing Focus will provide high-level administrative and marketing support to the CEO and Finance Director. This role will involve managing their calendars, organising travel, handling visitor arrangements, and liaising with the assistant team, as well as contributing to marketing activities. The ideal candidate will be highly organised, detail-oriented, and proactive, with excellent communication skills and a flair for marketing.
Key responsibilities and accountabilities:
1. Administrative Support:
- Manage the CEO and Finance Director calendar, schedule meetings, and ensure timely reminders.
- Coordinate and organise travel arrangements, including booking flights, accommodation, and transportation.
- Handle correspondence and communications, ensuring all messages are prioritised and addressed promptly.
- Liaise with clients, visitors, and stakeholders, ensuring a professional and welcoming experience.
- Work closely with other assistant team members to ensure smooth operations and cohesive teamwork.
2. Marketing Assistance:
- Assist in the planning and execution of marketing campaigns, including digital and traditional media.
- Support social media management, content creation, and analytics reporting.
- Coordinate with internal teams and external vendors on marketing materials and projects.
- Assist in organising and managing events, exhibitions, and promotional activities. Monitor market trends and provide insights to enhance marketing strategies.
3. Travel and Visitor Arrangements:
- Organise itineraries and provide comprehensive travel documents for business trips.
- Welcome and host visitors, ensuring their experience is seamless and well-organised.
- Plan and coordinate logistics for meetings, conferences, and events involving external visitors.
4. Collaboration and Liaison:
- Act as the primary point of contact between the manager and other assistant team members.
- Facilitate smooth communication and collaboration between departments.
- Maintain up-to-date records and ensure team alignment on key projects and commitments.
Essential:
- Proven experience as a Personal Assistant or in a similar administrative role.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience in travel arrangements, including booking and planning.
- Basic marketing knowledge, with experience in campaigns and social media management.
- Ability to handle confidential and sensitive information with discretion.
Desirable:
- Background in marketing, communications, or a related field.
- Familiarity with marketing tools and platforms (e.g., Canva, Mailchimp, Google Analytics).
- Multilingual skills or proficiency in a second language.
- Event planning and coordination experience.
