Role Overview:
The Office Administrator will oversee daily office operations and provide administrative support to ensure smooth and efficient business processes. This role requires strong organizational skills, attention to detail, and the ability to multitask in a dynamic environment. The Office Administrator will serve as the point of contact for staff, vendors, and clients, ensuring the office runs effectively and professionally.
Key Responsibilities:
- Manage day-to-day office operations, supplies, and equipment.
- Act as the first point of contact for incoming calls, emails, and visitors.
- Coordinate schedules, meetings, and travel arrangements.
- Coordinate with vendors, service providers, and building management.
- Prepare reports, presentations, and correspondence as required.
- Provide general administrative support to management and staff.
- Travel and Event Organization: Arrange travel accommodations, itineraries, and event logistics for the team. Assist in organizing company events or meetings as needed.
- PA Duties: Support management by scheduling meetings, managing calendars, and handling day-to-day administrative tasks.
- Item Purchases: Handle procurement of supplies and materials needed for the business, including packaging and office supplies.
- Lab Test Postages: Manage lab test samples and ensure all required documentation and postage are handled promptly. Weekly Meeting Minutes & Action Points: Attend and document weekly meetings, ensuring that action points are followed up on and deadlines are met.
Required Skills & Qualifications:
- Administrative Experience: Proven experience in a similar administrative or office support role.
- Organizational Skills: Ability to handle multiple tasks efficiently with a high degree of accuracy.
- Communication: Excellent written and verbal communication skills, with the ability to liaise effectively with customers, vendors, and internal teams.
- Tech Savvy: Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Attention to Detail: Strong attention to detail, particularly in handling documentation and reports. Problem-Solving: Ability to quickly identify and resolve issues.
Desirable Attributes:
- Ability to work in a fast-paced environment and meet tight deadlines. Experience in agricultural, horticultural, or logistics environments is a plus.
Working Conditions:
- Office-based with occasional visits to nurseries, packaging facilities, or cold store hubs.
- Seasonal peaks (spring/autumn) may require extended hours.
