Overall
To play a lead role in the day to day running of the office, dealing with day-to-day office duties and interaction with internal and external professionals.
When necessary, provide specific support to all departments, including Recruitment, HR, Operational and Senior Staff.
Main duties include:
· Maintain and update all trackers daily, sending them weekly to managers, highlighting any gaps, and following up on missing documentation.
· Track and monitor all incidents involving customers in placement.
· Ensure all customer computer files and folders are accurate and up to date, archiving outdated files appropriately.
· Accurately save and organize all documentation within computer and email folders.
· Ensure all office processes comply with GDPR requirements.
· Carry out tasks and duties as directed by Senior Managers.
· Answer phone calls professionally, greeting each caller with the company name and appropriate salutation.
· Maintain confidentiality of information discussed in management meetings, supervisions, and employee notes.
· Record, track, and request petty cash allocations for services and office needs.
· Support the management team with recording and monitoring company financial expenses.
· Take and type accurate notes during meetings, investigations, and interviews.
· Greet office visitors and provide a professional and welcoming environment for staff and guests, offering tea and biscuits when required.
· Manage incoming and outgoing post, sending letters as requested by senior management.
· Perform general office duties, including emailing, scanning, typing, printing, photocopying, and filing.
· Arrange and schedule office meetings, both online and in person.
· Monitor and maintain office stationery, ensuring supplies are fully stocked.
· Replenish paperwork and documentation for services as required.
· Collate weekly reports from Team Leaders and compile monthly Team Leader and Petty Cash trackers.
· Assist with the ongoing transition of Care4uWE to a digital system.
· Provide support to other office staff with general administration duties as needed.
· Contribute to improving office efficiency and streamlining administrative processes.
Job Type: Permanent
Pay: £12.25-£13.00 per hour
Expected hours: 37.5 per week
