Eden Project Morecambe is seeking a highly motivated and resourceful admin and finance officer to support a growing team of Eden staff and volunteers in Morecambe. As a highly organised, proactive and detail orientated individual you will have experience in administration and financial coordination. You will play a pivotal role in the smooth running of the delivery team working closely with Colleagues in Cornwall and external stakeholders. As the scale of the work grows, so does the need for efficient, professional support to keep everything moving and help shape an ambitious, environmentally-driven initiative. Role purpose
We are seeking a dedicated and experienced administrator and financial manager to support the delivery of Eden Project Morecambe through the design, construction and operational phases of this exciting and unique project. The role will ensure the effective and efficient delivery of administrative services which support the day-to-day activities of a major project and provide financial management for the processing of supplier orders and invoices in alignment with grant funding applications and procurement regulations.
Key

Develops and manages administrative and financial systems and procedures, ensuring computerized and paper-based records are updated promptly and accurately in accordance with agreed security and confidentiality standards.

Provides administrative support in a range of project and operational activities including diary management, purchase ordering, filing, co-coordinating departmental correspondence, and responding to enquires.

Work closely with Eden Finance Business Partners, Lancaster City Council and External Cost Consultants to manage financial orders and recording of payments against budget for the preparation of grant funding drawdowns and financial reporting.

Assists the Project Director and wider Morecambe team with the management of meetings by coordinating diaries, booking and equipping meeting rooms; circulating agenda items; taking and circulating minutes.

Assists with the compilation and production of management information, retrieving and collating data and information for inclusion in regular and ad-hoc reports.

Actively engages and interacts with all contacts answering questions, providing guidance and imparting knowledge in order to ensure an appropriate open and professional culture from within the team.

Co-ordinates and manages the electronic filing and updating of departmental policies, procedures and systems, ensuring all documentation is up-to-date and accurate.

Assists other teams within Eden where cross functional working is required to ensure appropriate administrative efficiencies are being maintained.
Demands of the role
Education & qualifications
The role requires an excellent level of numeracy and literacy, with GCSE/ O level Maths and English grades A to C. Ideally, the role holder will have a Business Administration qualification at level 3 or equivalent.
Knowledge & skills
The jobholder will be an established and knowledgeable practitioner with at least two years previous experience of working in a clerical or administrative role with financial management responsibilities. Knowledge of electronic office systems and procedures is essential as is the ability to communicate at various levels within and outside of the organization.
Decision- making
The jobholder will organise and prioritise their own work on a day-to-day basis, but working within the time constraints provided by the project reporting schedules and deadlines. An organized and methodical approach to managing a busy workload is required. Reporting to their line manager on a weekly basis, the jobholder will work to short-term objectives where the impact of judgements and decisions will be immediately obvious and apparent within a few weeks.
Resourcefulness
The jobholder will need to be resourceful to ensure that deadlines are prioritized and met working with the Project Director to plan ahead. There is an occasional need some adaptive thinking when developing new administrative and financial procedures or protocols as well as some reactive problem-solving.
People & asset management
Line Management responsibility for a Junior Administrator in the future will be required as the project develops. Shared responsibility for the security and confidentiality of paper-based records and computerized data.
Communication & visitor experience
The job holder is regularly required to engage, communicate and interact with a wide variety of colleagues, providing and exchanging information in support of their queries/requests. Also has regular contact with external suppliers and contractors and must therefore adapt their method and approach to suit the particular needs of the audience or situation.
Operational environment The role will be largely office based within Morecambe with the ability to work on site if required to support events.
