Job Title: Head Receptionist/ Supervisor
Duties:
- Greet and welcome visitors in a professional and friendly manner
- liaise with necessary staff including housekeeping and maintenance to address any problems or complaints made by guests
- complete and maintain any incident reports, daily activity reports or other reports requested by management
- close guest accounts and check guests out
- review accounts and charges with guests during the check-out process
- process accurate payment of guest accountsStaffing of reception and rota
- Staffing of reception and rota
- Night porter rota
- Staff training for reception staff
- Weekly business sheet
- Checking all accounts are up to date
- Chase payments of accounts not paid
- Filling in of management diary ie fire walks by staff on duty
- Hiring of staff according to budgets
- Dealing with reception staff related issues
- Attending heads of department meetings
- Answer and direct phone calls to the appropriate departments
- Provide general administrative support, including data entry, filing, and photocopying
- Assist with order entry and proofreading documents
- Coordinate projects and tasks as assigned
- Transcribe notes and messages accurately
- Maintain office supplies and ensure inventory is well-stocked
- Handle customer inquiries and provide excellent customer support
- Schedule appointments and manage calendars
- Maintain clear and accurate records of guest room bookings
Requirements:
- Previous experience as a receptionist or in a similar role is preferred
- Strong organizational skills with the ability to multitask effectively
- Excellent verbal and written communication skills
- Proficient in using office equipment, such as printers, scanners, and photocopiers
- Knowledge of basic bookkeeping principles and office based systems
- Attention to detail and accuracy in all tasks performed
- Ability to maintain confidentiality of sensitive information
