An exciting opportunity as a Greenkeeping Administrator has become available to join the team at Carnoustie Golf Links, as part of the Greenkeeping team at our prestigious golf course.
This is a permanent position, working 20 hours per week with flexibility on the work schedule, which will be discussed at interview.
The ideal candidate for this position will have: strong IT skills, experience with all Microsoft Office packages and Sage, excellent interpersonal and communication skills, have office environment experience and a demonstrated ability to work alone and independently.
Working under the Links Superintendent, the normal duties of this role may include, but are not limited to:
General
Provide administrative support to the Links Superintendent, Head of Maintenance & Estates, Course Managers and Irrigation Technician
Monitor relevant shared inboxes
Diary management to support scheduling of meetings, training, recruitment, travel and events
Prepare and provide reports and presentations, as required, including monthly finance reports
Pro-active stock management, including maintaining stock records for greenkeeping materials, PPE, office supplies and fertilisers monitoring stock going in and out, utilising ProcureWizard
Review and develop office procedures, creating efficiencies where needed
Management of the Greenkeeping, Maintenance & Estates invoicing and POs creation of requisitions for approval, inputting authorised POs and invoices to Sage and following the process through to end result on Sage, following up to ensure payment completion
Handle enquiries regarding supplier statements/invoices
Maintain budget records via the live document
Greenkeeping Specific
BIGGA applications for Greenkeeping staff, including annual renewals
Input application records onto server to tie in with GEO
Keep relevant licenses up to date, including SEPA, John Deere and Angus Council
Process Greenkeeping seasonal hours for Payroll
Creation and maintenance of a Rainfall, Sunshine & Humidity tracker for Irrigation Technician
Update GEO site on regular basis, ensuring to keep note of Winter Green and Course Closure dates, energy usage at Links Parade and Burnside Starters box
Maintenance & Estates specific
Monitoring Warehouse Invoicing inbox PO support for Head of Estates & Maintenance
Providing support with maintenance scheduling
Control and ordering of cleaning supplies
Logit service schedule
Provide Head of Maintenance & Estates with relevant admin support where required
