Front Desk & Marketing Administrator

As part of our growth, we’re looking for a friendly, highly organised, and creative Front Desk & Marketing Administrator to become the face of our academy and help take our operations, customer experience, and marketing to the next level.
Your Role
You’ll be the first point of contact for students, parents, and visitors, managing the day-to-day front desk operations while also contributing to the academy’s marketing, content creation, and social media strategy.
Key Responsibilities
Front Desk & Customer Service
- Welcome students, parents, and visitors with a warm, friendly, and professional attitude.
- Handle student registrations, trial bookings, and onboarding processes using our booking and registration systems.
- Manage phone calls, emails, and social media messages with fast response times to maintain our reputation for outstanding customer service.
- Keep the reception area organised, clean, and stocked to reflect the academy’s premium image. This includes the maintenance and cleanliness of each studio & staff area. We maintain an extremely high standard of cleanliness and pride ourselves on bringing the best experience to customers & clients.
- Manage payments, Direct Debit setups, and handle exam bookings accurately.
- Track invoices, payments, and late fee notifications via QuickBooks and our internal systems.
Admin & Operations
- Maintain accurate student records using My Music Staff and Google Sheets (full extensive training is provided with this! it’s easy to use and great for us!)
- Assist with scheduling, cancellations, and lesson management, ensuring smooth operations.
- Support tutors and management with ad-hoc admin tasks when required.
- Help coordinate events, performances, and student showcases.
Marketing & Content Creation
- Create engaging social media posts, stories, and reels to showcase our students, tutors, and academy culture.
- Use Photoshop and Canva to design professional marketing materials and branded content.
- Manage Meta Ads, Google Ads, and analytics to help drive growth and waiting list sign-ups. (Training provided if needed.)
- Contribute creative ideas for campaigns, competitions, and promotions.
- Assist in maintaining and updating the Fitzpatrick Academy of Music website.
Skills & Experience We’re Looking For
- Experience in a front desk, admin, or customer service role is preferred but not essential.
- A proactive, fast-moving, and highly organised approach to managing multiple tasks.
- Excellent communication skills with professional phone and email etiquette.
- Comfortable using systems like QuickBooks, Google Suite, and My Music Staff after training.
- Strong social media skills with an understanding of platforms like Instagram, TikTok, and Facebook.
- Creative flair with Photoshop and Canva experience – a big advantage.
- Familiarity with Meta Ads, Google Ads, and analytics tools preferred, but training can be provided.
- A passion for music, education, and helping others succeed is essential.

- Student Experience Manager – focusing on retention, waiting list growth, and client satisfaction.
