Summary
The Director of The Maples Community Care is seeking an Executive Assistant and Governance Officer who shares our values and will help us achieve our mission: nurturing independence by supporting individuals within our community. We provide supported accommodation and rehabilitation services to adults with mental ill health and/or learning disabilities.
This role combines high-level executive support with governance and compliance responsibilities, including policy development, regulatory research, and document control.
The Role
This is a varied and rewarding role at the heart of our organisation. You will primarily support the Director in her day-to-day responsibilities and planning, and senior leadership team, to use time effectively and efficiently, while also contributing to the smooth running of governance, compliance, and operational processes.
You’ll manage projects, conduct research, and provide insights to support strategic initiatives. You’ll also play a key role in document management, data protection, and front-facing client support.

Main Responsibilities
- Provide high-level executive and administrative support to the Director and SLT
- Proactively manage the Director’s diary and priorities
- Coordinate and monitor work plans, projects, and deadlines
- Attend key meetings, track actions, and follow up on deliverables
- Undertake project management duties on specific initiatives
- Prepare briefing materials, reports and background research for meetings
- Assist with document and information management, ensuring version control and accessibility
- Support governance processes, including policy tracking, and compliance documentation
- Work with the Data Protection Officer (DPO) to manage Subject Access Requests (SARs), data breach investigations, and reporting.
- Maintain a central repository of governance documents and ensure accessibility and version control across teams.
- Collaborate with senior leaders to ensure policies and procedures are up-to-date, legally compliant, and aligned with organisational values.
- Act as a professional and approachable point of contact for clients, visitors, and external partners, supporting the front desk function as needed
- Interact directly with the people we support, demonstrating empathy, respect, and a person-centred approach
- Triage enquiries, provide signposting, and facilitate smooth communication between clients and internal teams
- Take on office facilities management and undertake any other duties as reasonably required
About you
- Proven experience working as a Personal Assistant/Executive Assistant at a senior level.
- Proven experience of providing administrative support on several different projects.
- Experience in policy development, governance, or compliance within a regulated environment is highly desirable.
- Highly motivated, organised who can work effectively with minimal supervision, but who also enjoys being in a team environment.
- Excellent planning, prioritisation and time management skills, plus ability to respond effectively to changing workloads and priorities.
- Excellent interpersonal and communication skills
- Problem-solving attitude with high levels of flexibility and ability to work through ambiguity.
- Able to take the initiative and work independently.

- £30,000- £35,000 DOE
