Document Controller
Due to continued growth within the business we have a new opening for an experienced site based Document Controller to join our team. This is your opportunity to play a key role on site ensuring seamless document management and supporting the project team’s success. The role will be based on our site in Perth & Kinross, this will be a full-time permanent position, Monday to Friday.
As Document Controller you will manage the creation, distribution and archiving of all project documentation on site ensuring compliance with company standards, client requirements, and regulatory guidelines.
The successful candidate will be the central point of contact for all document control matters, maintaining an organised, accessible system for the smooth running of the project.
Key Responsibilities
- Document Management: Control and maintain all project documents (drawings, reports, specifications, correspondence etc.) in both hard copy and electronic formats.
- System Administration: Operate the project’s Electronic Document Management System ensuring all documentation is correctly uploaded, named, and archived.
- Compliance & Quality: Ensure all documents are reviewed, approved, and distributed in accordance with company procedures, project-specific requirements, and relevant legislation
- Communication: Liaise with engineers, subcontractors, clients, and other stakeholders to obtain, process, and issue project documentation in a timely manner.
- Audit & Reporting: Support internal and external audits by providing accurate documentation; generate regular reports on document status and outstanding actions.
- Training: Assist site staff with document control procedures and best practices.
- Continuous Improvement: Identify opportunities to enhance document control processes for increased efficiency.
Essential Skills & Experience
- Proven Experience Minimum 2 years in a document control role preferably within civil engineering or construction sector.
- Technical Proficiency: Advanced skills in Microsoft Office (Word, Excel, Outlook)
- Attention to Detail: Exceptional organisational skills with the ability to manage large volumes of documentation.
- Communication: Strong written and verbal communication skills.
- Teamwork: Ability to work collaboratively in a fast-paced, site-based environment.
- Independence: Capable of managing own workload with minimal supervision.
Desirable Qualifications
- Relevant Qualification: Certification in Document Control, Business Administration, or related field.
- Construction Knowledge: Understanding of civil engineering processes, terminology, and documentation requirements.
- Health & Safety Awareness: Familiarity with construction site safety protocols.
- Knowledge of Coins Software
- Knowledge of using Sharepoint
