Working days - Monday to Friday (approx 40 hours per week)
Job purpose and responsibilities:
- Ensure the efficient day to day management of POD information of goods inbound & outbound, Full Loads
- Coordination and distribution of Customer Paperwork.
- To provide an accounts administrative service to the company that allows for its overall efficient and effective operation.
- Assist in the timely production of the Management Information/KPI’s.
- Assist on project costing and maintaining cost records.
Range of duties:
- Point of contract for customer queries including delivery tracking and ETA’s.
- Ensure that the customer POD information is provided in a timely & accurate manner
- Ensure the uploading of customer POD’s onto the data base
- Undertake internal POD audit and chase up missing paperwork.
- To relay accurate messages and assist customers with account queries regarding information supplied and delivery times.
- Consider the confidentiality of customer’s information
- Ensure the timely production of weekly KPI reporting
- To provide support to the Management Team with mail shots, either by phone, e-mail or letter etc.
- Efficiently maintain accurate records, manual or computerized, in an up to date, neat and accurate manner, to allow for fast retrieval.
- Process card payments and maintain accurate records
- Assist with invoicing and sales ledger posting and allocations.
- Establishing a sound working relationship with suppliers.
- Support the transport team and undertake any other duties as reasonably assigned.
- To promote a professional image of the company at all times.
Skills and experience
- Previous Customer Services or Transport experience preferred
- IT literate with data base experience
- Self-motivated and disciplined
- An ability to work unsupervised to the required standard
- Numeracy and literacy skills
- An ability to be flexible, given that this is a relatively small team
- Confident, clear, professional and courteous
- Enthusiastic team player.
