Business Support Assistant

About you
You will share our passion for the fast-paced environment of Warehousing and have experience in supporting the operation within an administrative capacity. As our Business Support Specialist you will provides administrative support to the operation, including day-to-day tasks, procurement of consumables, and management of data related to operational activities. The role may also involve supporting agency partnerships for temporary staffing—particularly in coordinating process audits and ensuring adherence to service level agreements.
Key responsibilities:
- Welcomes internal and external visitors, provides telephone reception, ensures the interface between the head office and the site.
- Support the team to maintain accurate and up-to-date documentation on operational procedures, SOPs and training trackers.
- Schedule and minute operational meetings
- Participates in the reporting of warehouse performance indicators (staff, invoicing, budget, etc.), prepares reports, identifies discrepancies, and proposes areas for improvement.
- Support reporting activities which may include daily headcount tracking, productivity dashboards, absence data, and shift summaries
- Maintains site data and figures to support the Site General Manager in the budget construction and forecast control.
- Management of the allocation of Purchase Order Numbers for site invoices
- Take ownership of purchase order requests and follow up on goods receipt confirmation for warehouse consumables and services.
- Where appropriate supports the monitoring of Quality, Security, Safety and Environment commitments on the site and ensures the organization of the workplace in accordance with Good Quality Practices and 5S.
- Provides administrative support in relation to site audit procedures, including preparation and review.
- Help manage site compliance documentation, such as audit prep materials, inspection reports, or health & safety records. · Support site and local engagement activities
Skills & Experience Required:
- Extensive experience in administrative and operational support, ideally within a logistics, supply chain, or warehouse environment, with a proven track record of driving process improvements and operational efficiency.
- Strong analytical and reporting capabilities, with the ability to interpret complex data sets, identify trends, and provide actionable insights to senior leadership.
- Demonstrated experience in developing, implementing, and optimizing standard operating procedures (SOPs) and training documentation to support continuous improvement and compliance.
- Advanced proficiency in Microsoft Office Suite, particularly Excel (pivot tables, dashboards, data modeling), PowerPoint (executive-level presentations), and SharePoint or Teams for collaboration and document management.
- Proven ability to manage procurement processes, including vendor coordination, purchase order lifecycle management, and budget tracking.
- Experience supporting audits and compliance initiatives, including internal and external inspections, with a strong understanding of quality, safety, and regulatory standards (e.g., 5S, GxP, ISO).
- Strong stakeholder management and communication skills, with the ability to liaise effectively across departments, including operations, HR, finance, and external staffing agencies.

This is a full-time on-site position based from Leeds typically working 8:30am to 5pm Monday to Friday.
