Job Title Senior Finance Officer

Job Purpose
BAPAM is an expanding UK-wide charity providing specialist occupational clinical services to performing arts workers and students. Funded by grants and increasing numbers of service level agreements from industry bodies and charities, BAPAM’s accounting and reporting has become more diverse over the last 5 years. The Senior Finance Officer will work closely with the CEO and Treasurer and be responsible for producing and delivering monthly management accounts, overseeing financial operations, and ensuring robust internal controls are in place. They will also manage the year end audit, budgeting and forecasting and support procurement processes, providing guidance to the team
The postholder will be supported by the finance officer and administrator and will work with our team based near Aldgate and Tower Hill although we would expect the appointee to work predominantly from home, initially for 8 hours per week, with attendance in the office one day a month.
The salary is £ 55-60k pro rata depending on experience; immediate availability would be preferable and freelance staff would be considered.
Key Accountabilities
1. Financial Oversight
· Form a close working relationship with the CEO, Senior Management Team, and Trustees, particularly the Treasurer
· Provide leadership on Finance and Accounting strategy, to optimise financial performance and ensure that decision-making is financially sustainable.
· Provide financial modelling, analysis and guidance on all activities, plans, and targets
· Forecasting and managing cash
· Ensure that company financial systems are robust, compliant and support current activities and future growth
· Support the Finance Committee including agreeing the agenda for meetings with the treasurer/chair
· Work with the Senior Management Team, CEO, and Chair to prepare papers for the quarterly Board meetings, attending meetings with other members of SMT
· Support the Board on all financial matters and any financial risks facing the organisation
2. Charity Governance
· Ensure that all regulatory requirements are met including the Charity Commission, the Fundraising Regulator and Charity Law and ensuring timely filing of annual return to the Charity Commission
· Prepare Trustee report and associated policies (reserves, investment, risk)
· Monitor and report on compliance with banking covenants
3. Internal Controls
· Ensure that income is received promptly, suppliers are paid to terms and that processes to reconcile activity with spend are in place and implemented
· Oversight of all contracts entered by BAPAM and ensure that reporting requirements are met
· Work with the CEO to set the budget, liaising effectively with each member of SMT, set and monitor financial KPs and presentation of the Budget to Trustees
· Ensure timely, accurate and appropriate reporting of the month end results to the SMT. Investigate variances and advise on appropriate action
· Prepare quarterly management accounts for review by the Treasurer and present to the Board, providing cash variance information and forecasting
· Instruct and work closely with the external auditor to ensure timely production of the Annual Report and Accounts involving Trustees as needed, uploading to the Charity Commission website in a timely manner.
· Preparation of audit schedules and other information required including reconciliation of the Annual Report and Accounts to the management accounts
· Ensure that gift aid is maximised and processes in place to manage it
· Support the CEO to manage the relationship with banks, Insurance brokers, auditors, fund managers, HMRC and other compliance related matters
· Ensure regular review of contracts with key suppliers including IT and energy providers
· Provide leadership to the finance team
4. General responsibilities
· To understand, adhere to and actively implement all the policies and procedures of BAPAM
· To undertake training as required

Person Specification
The postholder will:
· Be a qualified, experienced Accountant with familiarity of the Charity SORP
· Ideally experience at a senior level within the Charity and/or Health sector
· Have an interest or experience in Performing Arts Medicine
· Have detailed understanding of best practice, regulation and Government policy in financial governance
· Have the ability to think corporately and act as a team player
· Demonstrate communication skills
· Provide evidence of commitment to ongoing learning and development
OTHER:
· Able to work remotely and travel to the London office (with minimum attendance at the office of 1 day a month
· Hours can be worked flexibility provided that there are core times when the postholder can be contacted and that deadlines are met
The successful applicant will need to complete a satisfactory DBS check and provide two references.
Salaries and benefits:
The salary £55-60,000 pro rate for 1 day a week
Benefits include an additional 8% employer’s pension scheme contribution payable on successful completion of probation period and 25 days per annum paid holiday pro rata.
3 days’ additional leave are taken between Christmas and New year in liaison with the team. Travel to any locations as required by BAPAM’s work will be reimbursed by BAPAM
A freelance position could also be considered
