We are seeking an enthusiastic individual who is interested in an administrative role in the education sector. This role will focus on developing practical knowledge and experience of employability and placement processes, while also providing general administrative support to ensure smooth delivery of placement activity. The role offers a valuable development opportunity for individuals interested in progressing within the employability or education sector.
In this role, you will:
- Assist in the organisation, monitoring, and tracking of student work experience and T Level placements.
- Liaise with students, curriculum teams, and external employers to coordinate placement paperwork, scheduling, and basic employer engagement.
- Maintain accurate and up-to-date placement records, databases, and compliance documentation in accordance with college policies and funding body requirements.
- Support the administration of pre-placement checks including health and safety assessments and safeguarding documentation.
- Receive and process incoming post, identifying documents requiring urgent attention, and responding to or redirecting correspondence under the guidance of the Employability Team.
- Welcome and assist visitors and enquirers, providing administrative support for onsite visits, employer meetings, and occasional social occasions.
- Draft and type correspondence, including confidential or sensitive materials, as directed by team members.
- Assist in the coordination of events and meetings including the production of agendas, minute/note-taking, reserving meeting rooms, and arranging refreshments.
- Ensure all relevant information and documentation is prepared and shared with the Employability Team prior to scheduled meetings or events.
- Support the maintenance of digital systems and online databases used for tracking placements and employer engagement.
- Organise office supplies and equipment needed for the team, ensuring procurement follows the College’s ordering procedures.
- Contribute to the planning and delivery of physical and virtual events related to employability, such as employer fairs, student briefings, and placement celebration events.
- Maintain and coordinate the diary of the Head of Employability, arranging meetings and appointments as required.
- Undertake other administrative or placement-related duties appropriate to the level of the post, as requested by the Employability Team.
We are seeking someone with excellent customer service and communication and organisational skills, with good IT skills and the willingness to learn new systems.
