We are a medium sized yet exceptionally busy wine importer and distributor, based in London N1. We are looking for a highly numerate, enthusiastic person to join our team and help us to keep the office running smoothly. This is a full-time job ideal for a graduate looking to expand their skills or anyone with at least 1 year of experience in an office environment.
About the Role
We are looking for a proactive and detail-oriented Customer Service & Logistics Coordinator to join our growing wine supply company. You’ll play a vital role in the day-to-day running of our logistics and operations.
Key Responsibilities
- Be the first point of call for incoming phone enquiries; assist where possible or redirect to the appropriate team member
- Process daily customer orders and emergency requests for trade and private customers
- Organize and track national and London-based deliveries
- Coordinate deliveries using in-house and third-party logistics
- Prepare delivery notes, invoices and ensure all paperwork is accurate and timely
- Assist with private customers’ orders, packaging, labelling and courier bookings
- Manage and monitor stock levels, flagging low stock and ensuring availability of core wines
- Liaise with sales reps, drivers and warehouse teams
- Provide administrative support, including trade list updates, sample preparation, inventory management, and assisting the sales team with wine-related materials such as labels, tasting notes, and menus.
- Keep records up to date and maintain smooth communication across sales, accounts and warehouse teams
- Helping the Office & Logistics managers in a range of tasks that vary daily.
The Ideal Candidate Will Have
- Ability to work well under pressure while maintaining attention to detail and memorizing information
- Good numeracy skills
- Excellent telephone manner and communication skills, both verbal and written
- Strong organisational skills and ability to prioritise tasks and manage time effectively in a fast-paced environment
- A proactive, problem-solving mindset
- Basic IT proficiency (Microsoft Office; QuickBooks knowledge a plus)
- Previous experience in logistics, operations or wine/hospitality industry is preferred
You don't need to know anything about wine, but you will have plenty of opportunities to taste it and find out more. You will also need to learn quickly to recognise and distinguish between the many wine names.
