Brody Forbes is seeking an administration assistant and receptionist to help with the day-to-day running of a busy civil & structural engineering consultancy. Duties will include:
- Answering telephone calls and passing on messages to staff.
- Developing and maintaining filing systems in hard copies and also electronically on the company’s server.
- Ordering materials and arranging plant hire.
- Typing of correspondence, including emails, quotations, letters and reports.
- Maintaining effective records.
- Arranging travel.
- Meet & Greet Clients/ Visitors
- Record and Distribute post, Incoming & Outgoing
- Ordering stationary/ consumables and regular checks
The successful candidate must have:
- Good communication skills
- Good IT and word processing skills
- Organisational skills
- The ability to multi task
- Accuracy
- Prioritising and managing tasks
Administrative Duties:
- Carrying out requests from management as needed
- Maintaining stock and ordering supplies
- Answering emails and sorting post
- Answering phone calls and transferring them as necessary
- Greeting and welcoming visitors
