Job Overview
This part time role is employed by Swinton Primary Care Network (PCN) and Walkden & Little Hulton PCN but will support joint working between the 5 Salford PCN’s. It is an administration post, whose primary function will be to provide administration support to joint meetings between Primary Care Network representatives and other key stakeholders including Salford Council, GMICB, Public Health Salford etc.
Administrators play a key role in NHS primary care organisations, being the first point of contact for clients, patients, health and social care colleagues and external organisations. This role is a key administrative post within the Primary Care Network structure and will support our operational services and our PCN team in facilitating and supporting operational support and key meeting forums. The post holder will provide a high-quality administrative service in a helpful, friendly and professional manner and in accordance with the values of The Salford Primary Care Networks.

Principal Duties and Responsibilities
Key Responsibilities
· Provide an appropriate and professional administrative and support service.
· Support the PCN teams at core meetings – Taking minutes and action notes for record and distribution.
· Respond to enquiries from patients, clients, colleagues and external contacts using excellent customer service skills and a friendly and flexible approach.
· Undertake all requested administrative duties as directed.
· Utilise IT skills with core systems, namely Microsoft with Word Applications and GP Records and reporting systems.
Effective Communication
· Answer incoming correspondence and ensure they are dealt with in an efficient and appropriate manner.
· Enabling patient engagement for the PCN Services to improve delivery and ensure access and effective outcomes.
· Provide a polite, professional and friendly service within the PCN team and wherever possible, promote services provided across the Primary Care Networks.
· Ensure the values of the organisation are demonstrated when communicating with colleagues, clients, patients and external contacts.
Managing People/Self
· No direct management responsibilities
· Take part in the annual appraisal (Personal Development Review) process and regular supervision.
· Keep up to date with all statutory and mandatory training.
· Undertake any further training as identified in the PDR process.
Demonstrating Team Working Skills
· Develop and maintain productive working relationships with colleagues.
· Be willing to work flexibly and provide support or cover as required for colleagues.
· Attend meetings as appropriate as a representative of the PCN, which may include processing and circulating minutes, as required.
Managing Information
· Use clinical IT systems (EMIS) in an appropriate and secure manner and keep up to date with software changes.
· Handling communications on behalf of the PCN team with patients and stakeholders / partners across Health & Social Care.
Clinical Governance
· Use the Insight reporting system for reporting incidents.
· Adhere to the policy guidance around delivery of services and support the PCN team to ensure delivery of services in a safe and effective way.
Service Improvement
· Assist in the development of office practices to continually improve administration processes within the PCN.
· Maintain IT literacy to continually improve service quality.

Responsibility for Human Resources
· To be responsible for self-care and well-being within the team, and support others in working together as a team.
· Escalate and participate actively within the supervisory support system and PDR and ensure timely reporting of any required annual leave/absence to the line manager.
Responsibilities for Physical and Financial Resources
· Observe a personal duty of care in relation to equipment and resources used in the course of work.
To monitor stock levels and ensure stock is ordered and maintained/controlled as required.
Planning and Organising
· Organises workload appropriately.
Research, Development and Audit
· Support in the collection of audit data.
· Contribute to the development of ideas, strategies and policies which will promote efficiency and wellbeing of service delivery by attending all relevant meetings.
Freedom to Act
· Is guided by clearly defined policies and protocols/procedures.
· Work is managed and outcomes assessed at agreed intervals.
· Supervision is available within the team.

Pay: Band 4 - £26,530.00 - £29,114.00 pro rata
