Overview:
Working hours are
Week 1 - Mon-Thu 08:00 - 16:30 & Fri 08:00 - 15:30
Week 2 - Mon-Thu 07:30 - 16:00 & Fri 07:30 - 15:00
This will be done on a weekly rotating basis.
Potential option to WFH on a Friday on a rota basis to be discussed during interview.
Responsibilities
- Manage the creation of jobs, using the enquiry review forms, follow the process through, and ensure the accuracy of data.
- Provide cover for the Admin Team Lead as needed.
- Provide cover for the other Administration Assistant as and when required.
- Assist with collating new site documentation for the site engineers.
- Ensure the reception is covered at all times.
- Administer the credit card spreadsheet, ensuring all receipts are located and passed to Finance.
- The booking and tracking of hotel accommodation.
- Post monthly accrual figures onto the company accounts package.
- Complete weekly subsistence figures and send to hours for the site labour.
- Ensure accurate inputting of the PPE figures from the designated form to effectively monitor the internal movement and costs, including liaising with the Financial Department.
- Assist with receiving incoming calls to the Administration department and diverting them accordingly.
- Help with covering the Goods in position, during absences.
- Any ad hoc and general administration duties to help support the team’s ability to comply with H&S issues and the general running of the department.
Skills & Qualifications
- Minimum 2 years experience in an Administrative role.
- Highly organised with a strong attention to detail.
- A strong communicator – confident liaising across departments.
- The ability to work to deadlines to manage multiple priorities
- Knowledge of Microsoft Office (Outlook, Word, Excel), with a focus on Excel.
- Solution-focused.
