Your Impact
The Accounts Receivable Assistant is responsible for supporting the accounts receivable function by ensuring accurate invoice processing, timely collection of outstanding payments, and maintaining up-to-date financial records. This role plays a key part in managing cash flow, resolving billing discrepancies, and providing excellent service to internal and external partners and clients. The position requires the ability and willingness to travel to the London office at least once per week to collaborate with key stakeholders and support business operations.
Key responsibilities typically include:
- Invoicing:
Responsible for preparing, issuing, and processing customer invoices in a timely and accurate manner. - Collections:
Communicate with clients regarding billing inquiries, payment reminders, and dispute resolution. Record and reconcile incoming payments against invoices. Perform other administrative and finance-related tasks as assigned. - Risk Mitigation:
Monitor accounts to identify overdue balances and assist in collection efforts. - Reporting and Analysis:
Assist in preparing weekly reports on AR aging, collection performance, provide commentary, and bad debt trends to provide insights for management and support decision-making. - Compliance and Documentation:
Assist in ensuring compliance with company policies, contractual agreements, and legal regulations while maintaining accurate and organized records of all receivables and related transactions. - Customer Relationship Management:
Build and maintain positive relationships with our clients to facilitate smooth payment processes and address any issues related to billing or disputes.
Required Skills & Abilities
- Strong analytical, communication, and negotiation skills to effectively manage accounts and minimize financial risks to the organization.
- Proficiency in MS Office (Excel, Word, Outlook); experience with accounting/ERP systems - Netsuite experience strongly preferred
- Strong attention to detail to ensure accuracy and compliance.
- Ability to work independently and as part of a team in a fast-paced environment.
- Proactive in resolving financial discrepancies and troubleshooting issues.
- Excellent organizational skills to manage multiple tasks, prioritize, and meet deadlines.
