As the Workplace and Visitor Coordinator, your role is integral to creating an enjoyable and productive working environment at SilverDoor. You will ensure the smooth running of the day-to-day operations of the London Global HQ office environment and ensure that all visitors have a 5* experience.
Your role will be wide ranging with administrative tasks, operational responsibilities and office visitor experience being of paramount importance.
Based in our Chiswick Park office, you will work closely with our Global Workplace Operations Manager supporting with managing maintenance, procurement, health and safety, and compliance requirements for the London office, with the possibility of developing the role to support with all of our global office locations.
We are looking for someone with a positive outlook who can act on their own initiative, be proactive, resolve problems as they arise, and have a 'can-do' attitude.
In this role, you will serve as a proud brand ambassador for SilverDoor, embodying our values and professionalism. As the first point of contact for visitors, you will create a warm and welcoming environment, delivering an exceptional standard of service to our team, clients, partners, and suppliers.
The working hours for this role are 08:30 – 17:00, Monday-Friday.
Front of House and Reception
- Serve as the first point of contact for all visiting clients and guests, welcoming them promptly in a confident, friendly, and professional manner.
- Ensuring a positive experience for all visitors by maintaining a professional and tidy reception and office entrance area.
- Managing visitor check in procedures and parking requirements and ensuring compliance with security protocols
Workplace Operations
- Act as the primary contact for all London office-related inquiries, providing prompt and effective support.
- Take ownership of the day-to-day management of the London office, ensuring smooth operations and exceptional standards.
- Work closely with the Global Workplace Operations Manager to promptly address and resolve office maintenance needs.
- Act as the primary contact with building and site management to ensure smooth communication and coordination of services.
- Act as a Health & Safety ambassador, proactively promoting positive practices and ensuring adherence to company policies.
- Manage and update office policies and procedures to ensure efficiency and compliance.
- Serve as a designated Fire Warden and First Aider (training provided).
- Coordinate travel and accommodation arrangements across the company, ensuring a seamless experience for employees.
- Ensure prompt communication of all relevant office, building or Chiswick Park information.
Event & Project Support:
- Provide support for planning and management of company events
- Helping to ensure maximum engagement for our team members by encouraging social activities and employee wellbeing.
Experience:
- Similar experience in a similar role such as Receptionist, Administrative Assistant or Office Coordinator
- Knowledge of Health & Safety standards and workplace compliance is a plus (training provided)
