We are seeking a reliable, customer-focused Vehicle Hire Office Assistant to join our team. In this role, you will be the first point of contact for customers—handling enquiries, bookings, and providing expert advice on vehicle options and driving licence requirements. You will also be responsible for completing necessary documentation, including insurance forms and vehicle check sheets, and ensuring a smooth and professional customer experience throughout the hire process.
Key Responsibilities:
- Answer incoming telephone calls and respond to customer queries in a professional manner
- Process vehicle hire bookings accurately via phone, email, or in person
- Advise customers on suitable vehicles for their needs, including understanding and explaining driving licence requirements
- Complete insurance forms and ensure all required documentation is gathered and verified
- Respond to customer emails promptly and with excellent attention to detail
- Conduct pre- and post-hire vehicle checks with customers using check sheets, noting any damage or concerns
- Maintain accurate records and filing of hire agreements, insurance, and checklists
- Support other office tasks and assist colleagues as needed to ensure smooth daily operations
- Help maintain a clean and professional office and forecourt environment
- Provide outstanding customer service at every step of the hire process
