Overview
The Time Scheduling Officer is responsible for the planning, creation, coordination, and maintenance of academic timetables across the institute. This role plays a vital part in ensuring efficient use of resources, including teaching staffs, rooms, and equipment while meeting curriculum requirements and maintaining a positive experience for students and academic staff. The role requires a detail-oriented individual with strong organizational and communication skills who can work collaboratively across departments.

Key Responsibilities

1. Develop and manage semester and annual academic timetables in collaboration with faculties and departments

2. Allocate teaching space,staff, and resources effectively to optimise space utilisation while meeting academic needs

3. Input and maintain scheduling data in the institution's timetable management system

4. Work closely with academic colleagues to build modules-based timetable, ensuring that it present an accurate picture of course delivery

Stakeholders Coordination

1. Liaise with academic departments, programme leaders, and administrative staff to gather and confirm scheduling requirements

System Management & Data Integrity

1. Ensure the accuracy and consistency of timetabling data across internal systems

2. Monitor and update scheduling changes throughout the academic year, including room bookings, teaching changes, and cancellations

Reporting & Communication

1. Communicate timetable releases and update to staff and students clearly and efficiently

Process improvement

1. Contribute to ongoing improvements of timetabling processes and policies

2. Participate in projects and system upgrades related to scheduling and academic planning

Essential Qualifications & Experiences

1. Experience in a scheduling, administration, or coordination role within an educational or complex organizational environment

2. Familiar with the timetabling system

3. Strong IT skills, particularly MS Excel and database system

4. Demonstrate ability to manage multiple priorities, meet tight deadlines, and maintain accuracy under pressure

5. Excellent interpersonal and communication skills with the ability, with the ability to work collaboratively across departments

Desirable

1. Experience in a higher or further education setting is preferred

2. Understanding of academic regulations, programme structures, and curriculum delivery

3. Knowledge of space utilization and resource planning principles

4. Project coordination experience
