Part-Time Reception Administrator
25 Hours per Week
Afternoon Shifts: 1:00pm–6:00pm / 1:30pm–6:30pm (on a rotational basis)
We are currently seeking a Reception Administrator to join our friendly and supportive team. This is a part-time position, perfect for someone who enjoys working in a people-focused environment.

Duties:
- Greet and check in patients, ensuring a welcoming and efficient front desk experience.
- Answer telephone calls promptly and courteously, maintaining patient confidentiality at all times.
- Handle face-to-face enquiries and direct them appropriately.
- Book new and follow-up appointments.
- Manage patient recall systems as directed by the management team.
- Process incoming messages and communications from patients, clinicians, and external bodies.
- Process prescription requests in accordance with practice policy.
- Register new patients and manage their information accurately.
- Manage electronic record transfers (incoming/outgoing).
- Open, sort, and distribute incoming mail.
- File and maintain medical records, scan and attach documents to patient files.
- Assist with patient and registrar surveys.
- Maintain and update patient database records (e.g., PDS).
- Monitor and action NHS email communications.
- Ensure the reception area is stocked and organised.
- Signpost patients to appropriate healthcare services.
- Book appointments for specialist clinics.
- Log and handle outgoing mail.
- Ensure the reception area is left tidy for the next shift.
- Secure the premises at the end of the day, including locking windows and setting alarms if last to leave.
- Carry out any other administrative tasks as required by management.

Person Specification
Receptionist/Administrator
ESSENTIAL
- · GCSE or equivalent.
- · Previous reception experience in a similar setting and ideally general practice.
- · Experienced in providing information and advice to patients/relatives.
- · The ability to exercise judgement when dealing with patient enquiries /problems.
- · Excellent Computer Skills.
- · The ability to manage own workload and act independently.
- · Excellent communication and interpersonal skills.
- · High degree of accuracy with regard to patient correspondence and filing.
- · Sensitivity and empathy with people from different backgrounds.
- · Good standard of literacy and numeracy.
- · Ability to work without close supervision.
- · The ability to work to a professional standard
- · Able to provide advice and information in a polite and courteous manner.
- · Ability to complete tasks to deadlines and to a specified standard.
- · Ability to be flexible in approach to work.
DESIRABLE
- Further education or vocational training
- NVQ in Administration
- Experience gained in a healthcare environment.
- Customer Service Training or formal reception training
- Knowledge of system1
