Overview
We are seeking a highly motivated and detail-oriented part-time Project Assistant to support our team in delivering exceptional project outcomes. This role is a key part of our exciting new Big Lottery Reaching Communities funded ‘Communities that Can’ project. The project is designed to connect residents, foster local engagement, and support local organisations through real-world interactions. By offering connections through events, groups support, local directories, and volunteer opportunities, we aim to create stronger, more vibrant communities across Mid Devon. We lead neighbourhoods into supportive, interconnected networks where everyone feels at home. The ideal candidate will have a solid understanding of project management principles and excellent organisational skills. You will contribute to the project by providing support to the Project Manager as an integral part of our ‘Communities that Can’ team. In addition, the successful candidate will assist in planning, organising, and executing project activities, contributing towards the completion of project against defined milestones and monitoring and evaluation.
This post is 16 hours per week £25,296.60p FTE (Pro-rata £10,793.22) plus pension.
Responsibilities
- Assist in the planning and execution of various projects, ensuring timelines are met.
- Maintain accurate records and documentation related to project activities.
- Perform data entry tasks, ensuring all information is up-to-date and correctly entered into relevant systems.
- Provide clerical support, including managing correspondence, scheduling meetings, and preparing reports.
- Collaborate with team members to coordinate project tasks and deliverables.
- Utilise Google Suite for document creation, collaboration, and communication.

Effective monitoring and evaluation is achieved.
The project manager is supported to complete her role effectively.

Requirements
- Assisting the Project Manager in tasks such as project planning, scheduling and attending community meetings.
- Preparing necessary documentation including meeting administration and monitoring documents.
- Drafting and coordinating presentation development and required attendees.
- Actively marketing and promoting the project within communities.
- Collecting evidence of outputs and outcomes including case studies, ensuring consistent implementation of the monitoring and evaluation process together with the Project Manager.
- Working closely with the Project Community Builders to design community activities based on learning, community communications and stakeholder engagement and inclusion.
- Being aware of and following policies and procedures, with particular attention to safeguarding, health and safety, and equality and diversity.
- Managing the timeline and deliverables of the project effectively.
- Maintaining awareness of County and other initiatives and developments that present opportunities for people to be more engaged and have influence over what happens in their community.

SKILL
Excellent written and verbal communication skills and interpersonal abilities.
Proven organisational skills with an eye for detail. Proficient using MS Office tools (Excel, PowerPoint, Word, Outlook, SharePoint).
Ability to work flexibly - both independently and as part of a team.
Ability to interact with internal and external stakeholders at varying levels on project based activities.
Can effectively organise, prioritise own work, and meet quality standards.
Strong relationship building skills necessary to working in a diverse community environment.
Ability to administer, oversee and run meetings and events within the community.
Critical thinking and problem solving skills.
KNOWLEDGE AND EXPERIENCE
Minimum 2 years of experience in a project-based role.
Experience of developing and working with groups.
Understanding of the principles and knowledge of the approaches to community engagement
Experience of working collaboratively.
Understanding and experience of monitoring and evaluation.
Understanding of professional boundaries and safeguarding
Knowledge of statutory, private, voluntary and community groups.
Use of social media platforms
