Is responsible for a group of dedicated outpatient clinics ensuring that at all times a high quality service is provided to patients, consultants and their staff. Ensures that all clinic slots are filled appropriately maximising clinic usage. Oversee the booking of inpatient procedures, ensuring that staffing is secured and all relevant departments informed. Identify and register all new private patients on the relevant system, subsequently checking discharge dates, correct status and follow up appointments.
Effectively inform patients of impending admission or outpatient attendance advising re undertaking to pay forms and medical insurance The post holder will ensure mechanisms are followed to inform private patients of all charges associated with private treatment prior to it commencing and to follow appropriate mechanisms in place to recover payment. Use relevant systems and reports to identify potentially chargeable Overseas Visitors; contact them to secure identification and where applicable, inform them of all charges. Working with finance department to ensure invoices are raised in a timely basis. Basic management of low-level complaints or concerns raised by patients or clinical staff, escalating where appropriate.
Able to clearly provide information relating to private healthcare services, including fixed pricing, insurance details etc. Escalation of concerns relating to outstanding payments, inappropriate behaviour and operational concerns. Have a basic understanding of the Department of Health (DH) Overseas Visitor guidance and implement and monitor administrative compliance with the Trust policy and procedure for Overseas visitors. To develop and manage an effective office structure and administration systems that support the private patient coordinator in their day-to-day duties.
To support the completion of all overseas visitors Pre-Attendance forms in clinics i.e. Maternity & A&E admissions to ensure that patients residence, eligibility to NHS treatment is & and collect documentary evidence where necessary. Preparation of incoming and outgoing mail; hand-delivery of referral letters and investigation requests to other departments and disciplines as required. The post holder is expected to provide effective communication by establishing and maintaining positive inter-personal relationships with other staff members, customers, and clinical teams in a way that represents the Harrogate Harlow Hospitality Standards.
