Job Summary
We are seeking a reliable and organized Part-Time Office Administrator to support the smooth running of our office. Responsibilities include general administrative duties such as managing correspondence, maintaining records, organising suppliers, arranging couriers, ordering office supplies, and coordinating basic office maintenance.
Key Responsibilities and Skills
- Manage incoming and outgoing correspondence (email, phone, postal mail).
- Maintain and update office files, records, and databases.
- Oversee office supply inventory, place orders for supplies, and manage relationships with suppliers.
- Organize deliveries and ensure supplies are stocked appropriately.
- Coordinate basic office maintenance (e.g., cleaning, repairs, and general upkeep).
- Liaise with external vendors for maintenance, repairs, and services.
- Arrange couriers for outgoing packages and deliveries. Track the status of shipments to ensure timely arrival.
- Conduct regular fire alarm testing and keep logs of fire safety checks.
- Ensure health and safety protocols are being followed
- Conduct basic safety checks and report any concerns.
- Assist with scheduling and setting up meetings, conferences, and events.
- Organize meeting rooms, ensure all necessary equipment is available, and prepare refreshments when necessary.
- Assist with various office-related tasks as required by management.
- Handle confidential information with discretion.
- Strong organizational and time management abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to multi-task and handle a variety of responsibilities simultaneously.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision.
- Capable of maintaining confidentiality when dealing with sensitive information
- Problem-solving skills and initiative in addressing office needs.
- Relevant certifications in office administration would be an advantage.
- Minimum of 1-2 years of experience in an office or administrative role.
