The Medical Receptionist & Workflow Administrator provides a combination of front-of-house patient services and behind-the-scenes clinical administration. As the first point of contact for patients, this role delivers a professional, welcoming service while also managing clinical correspondence, ensuring accurate records, and supporting patient care navigation.

Training to be provided:
Level 3 Business Administrator Apprenticeship Standard. You will complete a 15-month apprenticeship which includes 12 days at the PETA training centre in Cosham. You will be supported every 6-8 weeks with visits from your PETA Learning & Development Coach.

About the role:
The Medical Receptionist & Workflow Administrator will be responsible for the following duties:

Reception & Care Navigation:
- Greet patients in a professional and courteous manner, both in person and over the phone
- Manage incoming calls, direct queries, and take accurate messages
- Schedule, reschedule, and confirm appointments
- Take payments for services (e.g., medical reports) using approved systems
- Maintain and update patient records accurately in line with practice protocols
- Assist patients in understanding treatment plans, follow-up requirements, and referrals
- Connect patients with appropriate resources for social determinants of health (e.g., transportation, housing, food support)
- Reduce barriers to care and promote equity, inclusion, and patient-centred service
Workflow Administration:
- Process incoming clinical correspondence (paper and electronic) in accordance with practice protocols
- Scan, file, code, and summarise medical records accurately
- Identify urgent or high-risk correspondence and pass to the relevant clinical team promptly
- Record diagnoses, procedures, and investigations in patient records
- Ensure all correspondence is attached to patient notes within the agreed 48–72-hour timescale
- Manage online patient access queries, including account setup and troubleshooting
- Answer internal staff queries regarding patient information and records

Essential Skills:
It is essential that the Medical Receptionist & Workflow Administrator has the following skills and personal qualities:
- GCSEs in maths and English with at least a grade C/4
- Excellent communication and interpersonal skills
- Ability to multitask in a fast-paced environment
- Empathy, discretion, and cultural sensitivity
- Strong IT skills, including Microsoft Office and clinical systems
Desirable Skills:
It is desirable that the Medical Receptionist & Workflow Administrator has the following skills and personal qualities:
- Experience in a GP surgery, NHS, or patient-facing role
- Knowledge of medical terminology
- Microsoft Office qualification or equivalent experience
- Bilingual or multilingual proficiency
- Certification in Medical Office Administration or Patient Navigation
