Job Overview
We are seeking a Front of House Assistant to be the welcoming first point of contact at Flowhesion Foundation, ensuring every visitor has a positive and professional experience. As the face of Flowhesion, you will manage our reception desk, coordinate centre bookings and support the smooth delivery of events and activities by carrying out essential administrative tasks, oversee the mobile snack station, and contribute to the safety, maintenance, and overall presentation of our building.
Flowhesion Foundation is based at All souls, Astley Street, Bolton, BL18EY, a stunning refurbished church that it manages, that doubles as a contemporary business hub. The site has won many architectural awards. It has a number of beautiful spaces to hire for all occasions for both long-term fixed tenant as well as occasional hire.
In line with our strong vision for sustainability, we have set ourselves the ambitious target of self-generating 50% of our income in order to maintain the long-term consistency and quality of our work.
Working hours Monday to Friday between 9-5pm, flexible hours of working with line manager approval.
Responsibilities.
1. Greet, assist and direct visitors, tenants to the building in a professional and friendly manner ensuring they sign in and out of the building.
2. Answer, take queries and direct phone calls from the reception to the appropriate department or individual.
3. Perform basic administrative tasks, such as filing, data entry, and photocopying as directed by centre manager.
4. Manage and direct incoming and outgoing mail and packages.
5. Maintain a clean and organised reception area and outside entrance.
Hires, Activities & Tenant Logistics
6. Moving and Handling of modular furniture i.e., tables, chairs, dividers and desks as and when required and directed by the centre manager for bookings, events, activities and tenant requirements.
7. Ensuring that hired rooms are kept clean throughout the day, refreshments, snacks are topped up and catering either hot or cold is delivered on time.
8. Ensure that the ‘grab and go lunch’ item order form is completed by delegates who attend meetings by 10am and ensure that the required lunches are available for them by 1pm.
9. Manage the Mobile ‘snack station’ i.e., taking payments for snacks and ensuring that stock levels for the snack station are at adequate levels
10. Assisting in the advertisement of the building for hires i.e., leafleting, calling local business and organisations as directed by the centre manager.
Building & Safety
11. Ensure that you contribute to low-level maintenance of the building as directed by the centre manager i.e. putting, repairing items such as clocks, notice board, shelving that ensures the smooth running of the building.
12. Accompany workmen who attend the site to check repair, report on Health, safety, utility and electrical, building maintenance. Report any concerns and issues to Centre Manager.
13. To be responsible for the switching on and off of Urns and other electrical appliances, as directed by the centre manager. So that the building remains safe at all times.
14. To report any concerns, you have about building safety to the centre manager
15. To ensure that there is an up-to-date list of items that require PAT testing, those who have signed in and out in case of a fire alarm and maintain other lists as directed by the Centre Manager.
Experience Required:
- Managing a front reception desk for an organisation.
- Understanding Health & Safety including risk assessment and maintenance management.
- Advertising and marketing a service.
