Summary
We are looking to recruit a Part-Time Finance Assistant and Administration Officer to join our energetic and vibrant company. We are a small company undertaking Architectural and Structural Engineering, looking to recruit support staff.
The annual salary is circa £16,640 pa (pro rata) based on 24 hours a week, working 8.00am to 4.30pm Tuesday to Thursday or to be agreed with the applicant.
The holiday entitlement is 14 days per annum excluding bank holidays.
Applicant must be able to drive and hold a full U.K driving licence.
The post is based on site in Leigh Sinton near Malvern
Responsibilities
- Scheduling diaries and meetings
- Preparing meetings and taking minutes
- General organisation and day to day management
- Preparation of invoices
- Reconciliation of bank with income
- Chasing bad debts
- Preparation of financial information
- Assist in the monitoring of finances, fees and overheads
- Preparing financial information for management decisions
- Payment of invoices and salaries
- Ensuring personal records are kept up to date
- Assist in administration roles and other office duties including filing and answering telephones, taking messages and booking appointments
- Keeping and maintaining confidential records both personal and business related
- Assist in Human Resources issues relating to the company
- Organising recruitment and training for members of the company
- Management of information in a timely and accurate manner
- Financial management of the company including SAGE, including but not exclusive to PAYE, preparing invoices for VAT and accounts
- Management of the email system and responding to enquiries
- Assist in undertaking surveys on site, including property, land and dimensional surveys
- Production of survey reports
- Assist in the procedural of the office and activities of the company
- Monitoring and ordering materials and stationary
Requirements
- Excellent written and verbal communication skills
- Must be able to act on own initiative
- The ability to collect information and present in an understandable presentable format
- Must be discrete and act in a confidential manner at all times
- Exhibit interpersonal skills and have excellent time management and organisational sills
- Ability to be able to operate on more than one task at a time
- Must have good financial management and monitoring skills
- Ability to learn SAGE software or other financial packages
- Must be computer literate and have excellent computer skills and MS knowledge
- Be able to take accurate and comprehensive notes
- Excellent communication skills
- Be able to manage and collate information, prioritising and organising workloads
- Must be able to drive
- Must be willing to undertake other responsibilities commensurate with the position
- Able to answer the telephone in a courteous and polite manner
