We are looking to recruit an experienced Finance Officer for our Golf Club, Boutique Hotel and hospitality venue which opened after a major development project in October 2023.
Situated in the beautiful town of Tenby, Pembrokeshire, sitting in the Pembrokeshire Coast National Park and next to one of the award-winning sandy beaches, the facility provides 22 bedrooms, a high-end restaurant facility, busy bar/coffee lounge and separate function room. The venue is busy all year round with both local and regional visitors as well as holiday makers to the area.
The facility is adjacent to Wales’s oldest golf course which is in the top five courses in the country and attracts both members and visitors looking to visit and play as well as holidaymakers and locals just looking to enjoy a coffee, a top dining experience, a drink or a few nights stay in this beautiful National Park environment.
Key responsibilities:
Work in conjunction with others to establish control procedures for POS systems, ordering systems and to set up P&Ls for the various functions and implement financial controls within the various business areas.
Cashflow Management
To produce and monitor a robust and effective cashflow management system for the finance Director on a regular/monthly basis.
Payroll: Processing and checking payroll information from Managers and liaising closely with our accountants who run our monthly payroll.
Financial Reporting: Compiling all the required information for our accountants to produce our management accounts and to complete VAT Returns. Dealing with monthly, quarterly and year end queries such as chasing missing invoices, checking category codes, and producing monthly bank reconciliations. Providing management with periodic reporting and analysis.
Preparation and management of budget input and cash flow management.
Accounting Systems: Using Croft (software) to process emailed bills, expenses, and receipts across our group of companies and ensuring they are recorded accurately.
Accounts Payable: Ensuring all incoming bills are checked, recorded appropriately, and paid on time according to correct terms. Dealing with routine queries about incoming or unpaid bills.
Internet Business Banking: the successful candidate will have access to the company bank accounts for the purposes of paying bills, payroll and monitoring incoming payments.
Supplier Accounts: Assisting with managing supplier accounts and/or overseeing those who do to iron out any issues as they arise.
Credit Control: Assisting Managers with credit control including the monitoring of incoming payments to ensure all monies owed are chased and recovered quickly.
Essential Qualities:
Strong experience working in an accounts department or other relevant business experience, for example in office management or SME environment with responsibility for cashflow mnagement/bookkeeping/accounts.
Proficient in the use of Excel and one of the established accounts packages such as QuickBooks/SAGE/Croft etc
Fast learner and prepared to get involved across a busy hospitality environment.
Good Team player and influencer
Highly organised and able to schedule own workload.
Ability to prioritise, multi-task and meet deadlines.
Outstanding attention to detail
Desirable Qualifications:
AAT3 qualified or aspiring.
Experience/training in administering Accounts Payable and Payroll and Bank Reconciliation
Impeccable integrity is essential for this role.
This role is highly varied in its content and would suit an individual who can multi-task and is driven by accuracy and deadlines in delivering their objectives.
The role will report directly to the Finance Director/General Manager and normal working hours would be 35-38 hours per week (which can be adjusted to suit). The role can work hybrid between home and office, and this can also be tailored to suit the right candidate.
