Role Summary:
The Administrator/Clinic Receptionist will be at Hobbs Chedingtonas part of an experienced multidisciplinary team, working with inpatient and outpatient adults and paediatric clients who have complex neurological conditions including Stroke, Traumatic Brain Injuries, Spinal Injuries, and complex poly-trauma including amputees. The post-holder will provide administrative support across all centres, working with the existing admin teams, clinical therapists and the Hobbs management team to ensure the smooth running of the business, as well as specific receptionist and clinic administration duties for the above-named clinical location.
About the role:
We are looking for a friendly, enthusiastic and capable administrator to join our team and to provide administrative support Hobbs at Chedington, working with the existing wider Hobbs admin teams, clinical therapists and the Hobbs management team to ensure the smooth running of the business.
Responsibilities:
- Receptionist - greet clients and their families in a professional and courteous manner, check clients into appointments using the clinic’s diary software, booking repeat appointments.
- Answer and direct phone calls in a professional and courteous manner.
- Send pre-appointment information to clients, and coordinate/follow up completion of consent forms.
- Receive enquiries from potential clients via phone and email, give brief information on what our services provide, and forward enquiries on to the relevant team member(s).
- Perform clerical duties, including data entry, filing, and organizing documents.
- Assist with administrative tasks such as scheduling appointments, coordinating meetings and DBS applications.
- Provide general office support, including ordering supplies and maintaining inventory.
- Type and proof-read correspondence, reports, and other documents.
- Assist with basic bookkeeping tasks using Xero and support the accounts team with invoicing and purchase activities.
Qualifications and Experience:
- Proven experience in an administrative assistant or similar role
- Proficient in using Google Suite and MS Office software applications
- Excellent phone etiquette and communication skills
- Strong organizational skills with the ability to prioritize tasks effectively, with good time management
- Accurate typing skills with a high level of attention to detail
- Ability to handle confidential information with discretion
- Strong problem-solving skills and the ability to work independently
- Be capable of working under pressure and using your own initiative, as well as working under the direction of the team leader
- Familiarity with basic bookkeeping principles and experience using Xero software is a plus
