About The Role

The Administrative Person will provide comprehensive administrative support to the Substation Capital Development Teams, which consist of five teams and a total of approximately 70 team members. This role is pivotal for organising governance meetings at the portfolio and cross-functional level, coordinating with direct stakeholders, managing key governance documentation such as Project Execution Plans and Change Control processes, and coordinating training requirements.

What You'll Do

Governance Meeting Organisation

  • Schedule and coordinate governance meetings at the portfolio and cross-functional level.
  • Prepare agendas and distribute meeting materials in advance.
  • Record minutes and action items during meetings and ensure follow-up on outstanding actions.
  • Arrange and take minutes from several working groups.

Stakeholder Coordination

  • Liaise with direct stakeholders to gather input and feedback for PEP and change management documentation.
  • Facilitate communication between teams and stakeholders to ensure alignment for PEP and change control requirements.

Documentation Management

  • Assist in the preparation and maintenance of Project Execution Plans, ensuring all documentation is up-to-date and accessible.
  • Manage Change Control documentation, including tracking changes and ensuring proper approvals are obtained.
  • Track and gate keep multiple internal governance processes.

Training Requirements Coordination

  • Identify training needs for team members and coordinate training sessions.
  • Schedule training events, manage registrations, and track attendance.
  • Maintain records of completed training and certifications.

Event Coordination

  • Organise team-building activities, training sessions, and workshops.
  • Coordinate logistics for external meetings, including venue selection and catering.

Travel Coordination

  • Arrange travel logistics for team members, including booking flights, accommodations, and transportation.
  • Prepare travel itineraries and ensure compliance with company travel policies.

Communication and Information Dissemination

  • Draft and distribute internal communications, newsletters, and updates.
  • Maintain team calendars and ensure all members are informed of important dates and deadlines.

Feedback and Survey Management

  • Develop and distribute surveys to gather feedback from team members and stakeholders.
  • Compile and analyse survey results to inform decision-making.

Reporting and Tracking

  • Support the development of reports related to project status, governance meeting outcomes, and stakeholder feedback.
  • Maintain tracking systems for project milestones, deliverables, and governance actions.

Administrative Support

  • Provide general administrative support to the Substation Capital Development Teams, including scheduling, correspondence, and filing.
  • Assist in the onboarding of new team members and provide orientation on administrative processes.

Continuous Improvement

  • Identify opportunities for process improvements within administrative functions and governance processes.
  • Implement best practices for documentation and meeting management.

About You

  • Strong organisational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience in project management or administrative support roles, preferably in a utility or engineering environment.
  • Ability to work collaboratively in a team-oriented environment.

A competitive starting salary between £26,757.00 – £29,116.50 dependent on capability.
