We are now looking for an Admin Assistant who can not only support our day-to-day operations, food safety, and accounts, but also help us optimise menus, streamline deliveries, and coordinate with our social media team to keep our community engaged and our sales growing.
Role Overview
The Admin Assistant is the heart of our restaurant’s back office. You will manage everything from compliance and accounts to daily tiffin orders and customer renewals, while also playing a role in menu optimisation and event promotions.
This is a hands-on, dynamic role where organisation meets creativity.
Key Responsibilities
Food Safety & Compliance
- Maintain and update HACCP / SFBB logs (temperatures, cleaning schedules, food safety records).
- Keep staff allergen, hygiene training, and certification records up to date.
- Support EHO inspections and audits, ensuring compliance at all times.
Accounts & Administration
- Process supplier invoices, petty cash, and daily expenses.
- Reconcile customer payments (bank, card, cash, subscriptions).
- Support with sales, COGS, and wastage reporting.
Order & Delivery Management
- Print and distribute daily tiffin and delivery orders to the kitchen.
- Organise driver routes and ensure timely dispatch.
- Monitor customer subscriptions and handle renewals & reminders.
Purchasing & Food Control
- Raise and track purchase orders with suppliers.
- Check supplier deliveries against invoices and highlight discrepancies.
- Assist with stock reports, recipe costing, and wastage tracking.
Menu Optimisation & Sales Support
- Assist management in menu costing, GP tracking, and seasonal updates.
- Work with the kitchen to maintain accurate recipe and portion controls.
- Coordinate with the social media & marketing team to promote new menu items, offers, and special events.
- Support planning for restaurant promotions, themed nights, and festivals.
Skills & Experience Required
- Previous admin/operations experience in hospitality, food service, or delivery kitchens.
- Understanding of food safety (HACCP/SFBB).
- Competent in Excel / Google Sheets (essential).
- Familiar with POS / delivery order platforms (advantageous).
- Organised, detail-oriented, with good communication skills.
- Interest in food, menus, and customer experience.

Job Hours
- Minimum 45 hours per week, including evenings and weekends by mutual agreement as required by the business.
