This role is responsible for managing accommodation bookings to ensure our students have suitable, high-quality options that meet their needs. These include homestay hosts, student residences, accommodation agencies, and hotels, all offered at market prices and within easy reach of the college. It’s a great chance for you to work in an international environment, meet students from all over the world, and help drive sales while ensuring the highest levels of customer satisfaction.
Reporting to the Accommodation Manager, you will oversee the day-to-day operations of the accommodation function in line with Bayswater College policies and British Council standards. You will work closely with the Accommodation Manager to maintain strong relationships with suppliers and homestay hosts, ensuring the highest levels of student welfare and satisfaction at all times.
This role requires exceptional customer service and strong administrative abilities, along with the capacity to problem-solve, work under pressure, and meet deadlines.
Key duties & responsibilities
Accommodation Management
- Place students in suitable accommodation (homestay, residences, or hotels) at least two weeks before arrival.
- Confirm and communicate all airport transfers with clear pick-up and drop-off details.
- Maintain accurate and up-to-date accommodation records.
- Monitor and maximise accommodation occupancy levels.
- Minimise gaps between accommodation bookings to reduce voids.
- Build and maintain positive relationships with accommodation providers, ensuring compliance with policies and standards.
- Communicate accommodation availability to management, sales, and admissions.
- Manage student requests and resolve accommodation-related issues promptly to ensure satisfaction from arrival to departure.
- Use CLASS, My Bayswater, and payment systems to record all required student information accurately.
- Gather and act on student feedback to improve accommodation, transfers, and welfare services.
- Provide Finance with accurate information to process provider payments.
- Managing homestay host’ compliance in accordance with UK British Council Standard
Welfare
- Take responsibility for the welfare, safety and care of students at all times; ensure the students adhere to the college rules and high levels of care are provided by all accommodation providers. Extra duty of care is required for students under the age of 18.
- Inform the Centre Director of any welfare issues, make a record and keep the Director and other senior Managers informed of any major welfare issues.
- Keep up to date on all aspects of student welfare and health & safety. Make an ongoing commitment to develop your knowledge of safeguarding regulations for children and young people in accommodation.
- Participate in the rota with the college team to provide emergency telephone support out of office hours (evenings and weekends).
- Take part in ensuring that the learning environment is inspiring, fun and vibrant, respectful and culturally aware.
- Participate in attendance monitoring as required on a daily basis and follow up on absences with special attention given to any under-18s not attending class.
The post holder will carry out any other reasonable duties in the best interests of the college.
Qualifications or Experience
- Undergraduate degree (desirable).
- Experience working with international students and safeguarding children.
- Strong administrative skills and attention to detail.

Salary and Benefits
- Contract Type: Permanent
- Holiday: 20 days per annum plus 8 UK Public Holidays allowance
- Working Hours: 40 hours per week
- Salary: £25,500 per annum
