Are you a detail-oriented professional with a passion for creating exceptional workplace experiences? ISS is seeking a Workplace Facilities Assistant to join our team! This role is vital to the smooth running of the client's UK offices, delivering high-quality service, ensuring compliance, and supporting both employees and guests.
Job Description
As the Workplace Facilities Assistant you will play a central role in day-to-day office coordination, supporting facilities operations, managing vendor relationships, and driving sustainability and safety initiatives—all while upholding the core values of both ISS and the client.
Key Responsibilities
  • Assist the Senior Workplace Facilities Manager and wider team in day-to-day operations.
  • Manage documentation and coordinate essential services like cleaning, maintenance, and catering.
  • Maintain workplace management systems with up-to-date information.
  • Track budgets, process invoices, and generate performance and usage reports.
  • Be the go-to contact for workplace queries from employees and contractors.
  • Liaise with suppliers and internal teams to ensure smooth service delivery.
  • Keep accurate health and safety records and support audits.
  • Contribute to sustainability initiatives such as waste reduction and green practices.
  • Identify efficiencies and contribute to process enhancement.
Professional and Personal Competencies/Qualifications
  • Experience in a similar coordination or administrative role (preferably in facilities management).
  • Proficiency in Microsoft Office Suite and workplace management systems.
  • Excellent written and verbal communication skills with the ability to communicate across all levels of seniority.
  • Organisational and multitasking abilities.
  • Familiarity with health & safety standards (preferred).
