As a Transport Administrator at Aqua Direct, part of South Staffs Water, you’ll be part of a dedicated team delivering high-quality water services across the region. This is a varied and rewarding role where your attention to detail and coordination skills will make a real difference in keeping our transport operations running smoothly and safely.
The role:
We are seeking a highly organised and detail-oriented Transport Administrator to support the day-to-day operations of our tankering section. This role plays a vital part in maintaining accurate records, ensuring compliance, supporting logistics, and providing administrative support to the Transport and Operations teams. You will be a key contact for drivers, agencies, and customers, helping to maintain high service and quality standards.
- Update job board and communicate order changes to drivers.
- Monitor and record driver hours, timesheets, and overtime; ensure payroll documentation accuracy.
- Authorise agency clock cards for payment and maintain WTD records, alerting management to any breaches.
- Manage tachograph data, coordinating FTA analysis and document retention.
- Review vehicle defect reports and liaise with repair teams.
- Ensure all fleet paperwork is complete, filed, and compliant with regulations.
- Update weekly reports on orders, tanker volumes, and mileage.
- Prepare monthly data for board reports.
- Provide 24/7 phone cover on a rota with the Operations Manager.
- Uphold health and safety standards in all duties.
- Collect and log daily tankering samples in the LIMS system.
- Release loads upon clearance and notify customers as needed.
- Maintain load diaries, quality paperwork, and support internal audits.
- Conduct agency driver inductions and monitor quality checks.
- Ensure Aqua fleet cleanliness and presentation.
- Raise stock orders and update Oracle inventory.
- Manage invoicing, including receivables, payables, and related documentation.
What You’ll Need:
- Strong organisational and multitasking skills
- Excellent attention to detail and accuracy
- Solid understanding of transport operations and driver compliance
- Confident using systems such as Oracle, LIMS, and Microsoft Excel
- Clear, professional communication skills
- Ability to work independently and as part of a team
- Willingness to support out-of-hours communication on a rota basis
- Awareness of health and safety best practices
Desirable Experience
- Previous experience in a transport or logistics environment
- Familiarity with Working Time Directive rules and tachograph management
- Knowledge of quality management systems and documentation (e.g., BRC, HACCP)
