The ROLE

The role of Resource Management (RM) Assistant is integral to the successful and punctual delivery of projects, providing support to the EMEA Resource Management team to ensure the effective deployment, utilisation and development of resources, whilst also focusing on achieving the best commercial outcomes for the company.

[ This role has been designated as a remote position allowing qualified talent throughout the listed country to be considered for the opportunity. #LI-DNI

WHAT YOU WILL DO
  • Complete project set ups in Kimble for new fixed price and T&M SOWs and change orders using draft paperwork/resource plans so that the project is ready to set to Closed Won once signed.

  • Set projects to closed won once contracts are signed following RM process to ensure details and resource assignments are correct.

  • Send deployment emails to confirm resource assignments, ensuring the correct details are included on the email, including how to book travel if relevant for the role.

  • Assist with management of consultant resource records in Kimble:
    • Create resource records for new starters in Kimble (salaried employees and contractors) ensuring the correct cost and C-level details are included.
    • Create Contractor Helpdesk tickets to set up their System access.
    • Close records for leavers in EMEA (once all time and expenses have been approved, and any future project assignments have been removed).
    • Maintain resource records as required to keep info up to date (average costs adjustments, C-level changes due to promotions, adjusting business units etc).

  • Maintenance of Kimble data:
    • Assist with Kimble Cleansing Activities for EMEA projects by using the Assignment Search view to: ensure there are no overlaps between existing and follow on projects; start/end dates are correct and that hours are correctly forecast in order to maintain accurate financial forecasts.
    • Assist with Kimble Cleansing Activities for EMEA projects by using the Resource Schedule view to ensure that resources are not over-utilised, especially where they are assigned to more than 1 project, in order to avoid risks to revenue forecast.
    • Liaise with Delivery Partners and/or Project Leads to ensure Kimble assignments are kept accurate in terms of start/end dates & forecast hours to ensure that financial forecasts are accurate and so that RM have accurate roll off dates for future resource planning.

  • Run Time and Expense Reports for PM’s or DP’s if required.

  • Support with time approvals and moving hours around when needed.

  • Assist with maintaining up to date info on the Consulting App:
  • Ensure all Resumes and skills are uploaded onto the Consulting App for new hires, so that RM have access to their skillset and CVs are readily available for proposing to projects.
  • Chase existing consultants to update their existing skills and CVs after 6 months if needed, or before rolling off a project to ensure that RM have the latest version available for proposing for their next role.

  • Assist with onboarding new Contractors:
  • Create Contractor Helpdesk tickets to set up their System access.
  • Update details on Contractor internal spreadsheets.
  • Invoice checking and approvals.

  • Support consultants with Kimble queries

  • Support with other RM activities as needed, including covering additional tasks during holidays for existing RM team members.

WHAT IT TAKES
  • Experience within an administrative role, ideally including data entry and database management.
  • Strong attention to detail and ability to recognize/question when information doesn’t look right.
  • Strong communicator with ability to build relationships with peers and other colleagues.
  • Desire to learn new processes and be adaptable to change.
  • Strong organizational skills and ability to prioritise tasks.
  • Proficient user of Microsoft Office Suite (Word, Excel, Powerpoint etc).
